Blank Fields Not Suppressed in Form Letters or Labels (95796)

SUMMARY

Blank database fields inserted as placeholders into a Microsoft Works for Windows Word Processing document may not be suppressed when printing form letters, envelopes, or mailing labels for the following reasons:

MAILING LABELS

Works for Windows Version 3.0x

Blank lines are suppressed in Works 3.0 unless there is a blank space, tab, etc. in front or behind the database placeholder on that line. Also, if there is more than one space, tab, etc. between placeholders then Works will not suppress the blank line.

Works for Windows Version 2.x

Blank database fields on a line by themselves in mailing labels will not be suppressed in Works for Windows version 2.0, but they will in version 2.0a.

FORM LETTERS AND ENVELOPES

  • The line may not end in a paragraph mark created by pressing ENTER. If there is no paragraph mark at the end of this line, insert one.
  • The line may have other characters on it (spaces, tabs, other placeholders, and so on). Remove these other characters to suppress the line. To get similar spacing for these lines, do the following:

    Works for Windows Version 3.0

    1. Select the line(s) you want to format.
    2. From the Format menu, choose Paragraph and select Indents & Spacing.
    3. Change the Left Indent to show where you would like the selected lines to begin.
    4. Choose the OK button.

    Works for Windows Version 2.x

    1. Select the line(s) you want to format.
    2. From the Format menu, choose Indents & Spacing.
    3. Change the Left Indent to show where you would like the selected lines to begin.
    4. Choose the OK button.
Note: In Works for Windows version 3.0, from the View menu, choose All Characters or in Works for Windows version 2.x, from the Format menu, choose Show All Characters to show or hide the paragraph marks, tabs, and other special characters.
