SUMMARY

Microsoft Works for Windows can print no more than 255 characters per line, including spaces. In the spreadsheet and database List or Report view, the number of characters is determined by the number and width of the columns, and is actually limited to 249, since six spaces are reserved for the row labels. Although the limitation applies to all paper and font sizes, it is most evident in landscape orientation and with small font sizes. Print Preview accurately shows how the document will print.

Word Processor Printing Limitation

In a word processing document with left-aligned text, the 255 character limit may make the document appear to have an unusually large right margin. For example, with Times New Roman 6 point and a left margin of 25 inch, the apparent right margin may move to about 5 inches on a legal-size page and over 2 inches on letter size.

Selecting center alignment centers the text, but leaves the left and right margins larger than specified. Selecting right alignment moves the text to the right, but does not fill to the left. Justify looks like left alignment.

Spreadsheet and Database Printing Limitation

To calculate the number or columns that will print in a Works for Windows spreadsheet or database in List or Report view, use one of the following methods:

  • If the columns are all equal length, multiply the number of columns by the column width, as in the following formula:

    (Columns * width) < 249

    The result must be 249 or less, since 6 spaces are reserved for the row labels whether they are being printed or not. For example, with a column width of 10, the maximum number of columns that will print is 24, no matter which font is selected.
  • If the columns are of unequal length, add the widths separately. As above, the total must not exceed 249.
