An Office XP file that you check in to a document library still appears to be checked out in Windows SharePoint Services (920819)



The information in this article applies to:

  • Microsoft Windows SharePoint Services, when used with:
    • Microsoft Word 2002
    • Microsoft Excel 2002
    • Microsoft Project 2002
    • Microsoft PowerPoint 2002

SYMPTOMS

Consider the following scenario. You connect to a Microsoft Windows SharePoint Services Web site by using Microsoft Internet Explorer. Then, you check out one of the following Microsoft Office XP files that are stored in a document library:
  • A Microsoft Word 2002 document
  • A Microsoft Excel 2002 worksheet
  • A Microsoft Project 2002 document
  • A Microsoft PowerPoint 2002 presentation
You change something in the file. Then, you check in the file. In this scenario, the file that you checked in still appears to be checked out when you view the document library. To display the correct status, you have to press F5 to refresh the Web page in Internet Explorer.

CAUSE

This issue occurs if the following conditions are true:
  • You clicked Edit in Microsoft Office ProgramName to open the file in the appropriate Office XP program.
  • After you changed something in the file, you closed the file without saving it.
  • You checked in the file by using the Save changes and check in option.

WORKAROUND

To work around this issue, enable the Confirm open after download option in Windows Explorer. When you enable this option for a particular file type, you receive a message that asks whether you want to open files that use that file type after you download the file. Therefore, the focus moves from the Web page in Windows SharePoint Services to the dialog box that contains this message. After you confirm that you want to open the file, the focus returns to Windows SharePoint Services. And, Windows SharePoint Services refreshes the Web page as expected.

To enable the Confirm open after download option for a file type, follow these steps:
  1. Start Windows Explorer.
  2. On the Tools menu, click Folder Options.
  3. Click the File Types tab. In the Registered file types list, click the file name extension that represents the file type that is used by the file. For example, for Project 2002 documents, click MPP. Then, click Advanced.
  4. Click to select the Confirm open after download check box if it is not already selected. Then, click OK two times.
