Some members of a workspace cannot see unread records in Groove Virtual Office (917235)

INTRODUCTION

An "Unread" mark on the Groove Forms tool tab indicates that there are unread records. However, some members of a workspace cannot see these records and their status in Groove Virtual Office.

CAUSE

When you see an "Unread" mark on the Groove Forms tool tab but not in the tool itself, the views for the tool are either filtered or restricted to particular users or groups. If the views are filtered, or if the views do not include an Unread Mark column, you may not be able to tell whether there are unread records.

To verify the settings, follow these steps:
  1. On the View menu, click Go to Designer.
  2. Select the view that is being used.
  3. Click the Options tab, and then verify whether the Show unread marks check box is selected.
  4. Click the View Filter tab, and then verify whether any filtering criteria are applied.
A quick way to compare the records that can be seen to all the records is to use the Export all entries option on the Files menu. This option gives you a choice between Export all entries in the view and Export all entries in the tool. The difference between the numbers of entries in these two exports shows you how many entries cannot be seen in the view.

If you use keywords, you probably restrict the keyword views to those workspace members who have a Manager role, or to those users who add keyword records. To verify this setting, follow these steps:
  1. On the View menu, click Go to Designer.
  2. Click to select Keyword View.
  3. Click the Options tab, and then verify the View access permissions.
  4. Click to select the Show unread marks check box to identify the unread records in the view.
If workspace members do not have view access to the keyword view with a new record, they see an "Unread" mark on the tool tab. However, nothing that the members can see contains an unread record. Therefore, you may want to restrict the use of keyword records to data that rarely changes. Examples of such data are customer names or case priorities.
