To migrate data from an older workspace to a new workspace in Groove, you must migrate the workspace data individually from the Groove tool in which the data is located. To migrate the data, open the workspace from which you are migrating the data, and then follow the instructions for each tool. This section provides the steps to migrate data for each tool in Groove.

Migrating data in the Calendar tool

To migrate Calendar tool data, follow these steps.

Export Calendar data

  1. Open the Calendar tool.
  2. On the File menu, click Export, and then click All Events.
  3. Specify a file name and a directory location in the Export Record(s) to File dialog box, and then click Save.
All exported Calendar data is saved as an .xml file.

Import the saved Calendar data

  1. Open the Calendar tool in the new workspace.
  2. On the File menu, click Import.
  3. In the Import File dialog box, select the exported calendar .xml file that you created in the "Export Calendar data" section, and then click Open.
The imported events are added to the current Calendar. Notice that all imported events appear unread to all other members of the workspace.

Migrating data in the Contacts tool

To migrate data in the Contacts tool, follow these steps.

  1. In the Contact Manager tool in the original workspace, select the contacts that you want to migrate. To select multiple contacts, use SHIFT+click or CTRL+click .
  2. Click More, and then click Copy.
  3. In the Contact Manager tool in the new workspace, click Add Contact, and then click Paste.

Migrating data in the Discussion tool

To migrate Discussion tool data, follow these steps.

Export the whole discussion file

  1. Open the Discussion tool from which you want to export topics.
  2. On the File menu, click Export To, and then click Binary.xml.
  3. In the Export Record(s) dialog box, enter a file name, select a folder, and then click OK to save your entry.

Import the saved Discussion file or files

  1. Open the Discussion tool in the new workspace. If the tool already has discussion topics, select the topic after which you want to import the older discussion.
  2. On the File menu, click Import.
  3. In the Import File dialog box, select the exported discussion .xml file, and then click Open.
The import function adds the topics to the current Discussion tool.

Migrating data in the Files tool

To migrate data in the Files tool, follow these steps.

Migrate Files tool data

  1. Open the Files tool in the original workspace, select the files or folders that you want to copy, right-click the files, and then select Copy.
  2. Open the Files tool in the new workspace, right-click the folder in which you want to put the copied files, and then click Paste.

Migrating data in the Meetings tool

To migrate data in the Meetings tool, follow these steps.

How to migrate Meetings tool data

  1. In the Meetings tool in the original workspace, select the meeting that you want to migrate.
  2. On the Edit menu, click Copy.
  3. From the Meetings tool in the new workspace, open the Edit menu, and then click Paste.
The meeting that you copied is added to the meetings list.

Migrating data in the Notepad tool

Groove offers the following two Rich Text editing tools.
  • the Notepad tool
  • the Text tool
The Notepad tool was added in Groove Workspace 2.0. The Text tool was originally named the Notepad tool in earlier versions of Groove. When you migrate data from the old Notepad tool, you can use either tool as the migration target.

To export Notepad tool text, follow these steps.

How to migrate Notepad text

  1. In the Notepad tool in the original workspace, select the text that you want to migrate. If you want to select all the text, right-click in the Notepad, and then click Select All.
  2. Right-click in the tool again, and then select Copy.
  3. Go to either a Notepad tool or a Text tool in the new workspace.
    • If you are migrating text to a Notepad tool, click New Note, right-click in the text editor, and then click Paste.
    • If you are migrating text to a Text tool, right-click in the tool, and then click Paste.

Migrating data in the Pictures tool

To migrate picture files, follow these steps.

How to migrate Pictures tool data

  1. Open the Pictures tool in the original workspace.
  2. In the Pictures tool in the new workspace, open the Picture List.

    Note If the Picture List does not appear below the active picture, you must open it. To do this, point to Show/Hide on the View menu, and then click Open Picture List.
  3. Right-click the picture file that you want to migrate, and then click Copy.

    Note Do not use the Copy button in the toolbar to copy selected picture files.
  4. In the Pictures tool in the new workspace, open the Picture List.
  5. Right-click, and then click Paste.

Migrating data in the Sketchpad tool

To migrate sketches, follow these steps.

  1. In the Sketchpad tool in the original workspace, locate the sketch that want to migrate.
  2. On the Edit menu, click Select All.
  3. In the Sketchpad tool in the new workspace, click New Sketch.
  4. On the Edit menu, click Paste.

Migrating data in the Task Manager (formerly Project Manager) tool

To migrate tasks in the Task Manager Tool, follow these steps.

How to migrate tasks

  1. In the Task Manager tool in the new workspace, create a project to receive tasks.
  2. In the Task Manager tool in the original workspace, open the project that want to migrate.
  3. Select the tasks.
  4. On the Edit menu, click Copy.
  5. In the Task Manager tool in the new workspace, select the new project.
  6. On the Edit menu, click Paste.
The tasks that you paste are added to the project.

Migrating data in the Web Browser tool

To migrate Internet favorites, follow these steps.

How to migrate favorites

  1. In the Web Links tool in the original workspace, open the favorites list.
  2. Right-click the favorite that you want to migrate to the new space, and then click Copy.
  3. In the Web Links tool in the new workspace, right-click in the favorites list area, and then click Paste.
The Web addresses that you paste from the old favorites list are added to the new favorites list.
