INTRODUCTION

This article describes how to help safeguard your workspaces in Groove if you experience one of the following problems:
  • Your Groove password is compromised.
  • You are running a single account on two computers and one of these computers is stolen or lost. You have the "Remember password" option enabled on the stolen or lost computer.

    Note If you do not have the "Remember password" option enabled on the stolen or lost computer, you probably do not have to worry about the security of your Groove account. All Groove data on the disk is encrypted and cannot be accessed without your password.

Your password controls access to your Groove account file and all the information in the file. An attacker who can access your Groove account can view all the information that is in your Groove workspaces. Additionally, the attacker can impersonate your Groove identities to other Groove users.

If you believe that your password has been compromised, or if you enabled the Remember password option on the stolen or lost computer, you should take the following actions:
  • Create a new account.
  • Make sure that the old account is blocked from obtaining workspace data.
  • Make sure that your contacts know not to trust messages from the old account.


Note Just changing your password does not help, because an attacker may already have all the information in the account. Also, changing the password on the local computer will not change the password on any remote computers to which an attacker has imported the account.

To help safeguard your workspaces, follow these steps:
  1. Verify that all your workspaces have at least one other active and synchronized member. If you are the only member in a workspace, save the workspace as an archive.

    Note You only have to save a workspace as an archive if you are the only active member of that workspace.

  2. Send a message to all your Groove contacts to inform them that this account is no longer valid.
  3. In Groove Virtual Office, open Workspace Manager. In Groove Workspace, open My Spaces. For each workspace, right-click the workspace, click Delete, and then click From All My Computers. This removes your account from membership in the workspaces.
  4. In Groove Virtual Office, click Preferences on the Options menu, click the Account tab, and then click Delete Account from this Computer to delete your account. In Groove Workspace, open My Account and then click Delete.
  5. Exit and then restart Groove to finish deleting the account.
  6. Start Groove and create a new account that has a distinct name. If you are in a managed Groove domain, ask your Groove administrator to create a new account for you.
  7. If you manage a Groove license, revoke the activation key from your old account, and then reissue the key to your new account.

  8. Ask an active member of each workspace to invite your new account to the workspace. You may have to e-mail your new contact information to inviters who are not on your subnet or in your Groove domain.
  9. Restore any workspaces that you archived in step 1.
