This article describes how workspaces stay synchronized in Groove Virtual Office and in Groove Workspace.

When all members of a workspace use Groove at the same time, changes to the data in the workspace are constantly transmitted. And, workspace data is synchronized between all members. In Groove, members may participate in a workspace at different times. Additionally, members may change data when they are not online. Workspace changes are not transmitted to a workspace member if either of the following conditions is true:
  • The workspace member is not connected to the network.
  • The workspace member configures Groove to work offline.
To keep data synchronized among members, Groove maintains a log file that stores workspace changes. These changes are transmitted when the workspace member reconnects to the network or configures Groove to work online.

The size of this log file varies depending on the activity of the members in the workspace. If the workspace members regularly work online, or if they regularly connect to the network, all the changes from the log file are transmitted. And, the workspace stays synchronized.

When a workspace manager makes a change to the workspace, Groove posts a Synchronization Alert icon next to the workspace name if there are items in the queue that are more than three weeks old. To make sure that the workspace stays synchronized if you are the workspace manager, you can use either of the following methods when you notice a Synchronization Alert icon:
  • Contact the inactive member to ask the member to connect to the network to synchronize the data.
  • Clear the log file. If you clear the log file, members who do not have synchronized data are suspended from the workspace.
