Word templates use the system date instead of the document date in Small Business Accounting (911759)



The information in this article applies to:

  • Outlook 2003 with Business Contact Manager Update and Small Business Accounting 2006 SP 1, when used with:
    • Microsoft Office Small Business Accounting 2006
    • Microsoft Office Small Business Management Edition 2006

SYMPTOMS

Consider the following scenario:
  • In Microsoft Office Small Business Accounting, you apply Microsoft Outlook 2003 with Business Contact Manager Update and Small Business Accounting 2006 Service Pack 1 (SP1).
  • Then, you use Word templates to send an e-mail, to print a document, or to export a document.
In this scenario, the Word templates use the system date instead of the document date.
Notes
  • The problem does not occur for any document that uses the current date as the transaction date.
  • The problem occurs only for the default invoice template, for the default sales order template, for the default quote template, and for the default customer credit memo template. The problem does not occur for customized templates.

CAUSE

The problem occurs because the default templates for the Invoice document, for the Sales Order document, for the Quote document, and for the Customer Credit Memo document use a current date field on the template instead of an XML tag for the financial date.

RESOLUTION

To resolve this problem, use one the following methods.

Method 1

Use this method if you use Microsoft Office Word 2003 Professional.
  1. Start Small Business Accounting.
  2. On the Company menu bar, click Manage Word Templates.
  3. Select the type of the template in the Template Type area.
  4. In the Templates area, click the template that you want to modify, and then click Modify to open that template in Word.
  5. On the View menu, click Task Pane to display the task pane.
  6. In the task pane, click Document Actions to display a list of other available panes, and then click Document Actions.
  7. Select today's date in the Date field that is located on the upper-right side of the template, and then delete today's date.
  8. Place your cursor to the right of the Date field.
  9. In the Choose an element to apply to your current selection area in the task pane, click FinancialDate to create a FinancialDate XML tag in the Date field.
  10. On the File menu, click Save As.
  11. Type a file name for the template, and then click Save.
  12. Quit Microsoft Word.

Method 2

Use this method if you use Microsoft Office Word 2003 Basic and Microsoft Word 2002. You can contact Small Business Accounting Support to obtain the latest copy of the template that you want to use.

Or, you can obtain the modified template from a person who uses Word 2003 Professional and can follow method 1 to create a new template.
  1. Start Small Business Accounting.
  2. Open the document that you want to use with the template.
  3. On the toolbar, click Export to Word or Email.
  4. Manually change the Date field to reflect the date of the document or of the transaction.
  5. Do one of the following actions:
    • On the File menu, click Save as, and then save the modified document.
    • On the File menu, click Print, and then print the modified document.
    • On the File menu, click Close if you want to quit without saving anything.
    • Send this document in an e-mail message.
Note You must save the template in the following default location:

C:\Program Files\Microsoft Small Business\Small Business Accounting\Templates\Template Type

The words Template Type stand for the actual type of the template.

STATUS

Microsoft has confirmed that this is a problem in the Microsoft products that are listed in the "Applies to" section.
