The "Check Names" dialog box opens unexpectedly when you click Snooze in an Outlook reminder for an appointment that you created in Microsoft CRM Sales for Outlook (900341)



The information in this article applies to:

  • Microsoft Business Solutions CRM Sales for Outlook, when used with:
    • Microsoft CRM 1.2
  • Microsoft CRM 1.2

SYMPTOMS

When you click Snooze in a Microsoft Outlook reminder for an appointment that you created in Microsoft Business Solutions CRM Sales for Outlook (the Outlook client), the Check Names dialog box opens unexpectedly. The name of the person who you invited does not appear in the Select the address to use list. The name of that person does not appear in the list when you click Show More Names.

If you click Cancel in the Check Names dialog box, the appointment reminder reappears in approximately five minutes. If you click Snooze again, the Check Names dialog box appears again.

CAUSE

This problem occurs when the contact record for the person who you invited in the Microsoft CRM appointment does not contain an e-mail address. Therefore, the Outlook client cannot associate the appointment with the Microsoft Outlook record for that contact.

WORKAROUND

To work around this problem, add an e-mail address to the Microsoft Outlook contact. To do this, follow these steps:
  1. After you click Snooze, and after the Check Names dialog box opens, click Cancel.

    Note Clicking Snooze does not cancel the appointment.
  2. Click Contacts in Microsoft Outlook. Locate the Microsoft Outlook contact that was created from the Microsoft CRM contact.
  3. Double-click the Microsoft Outlook contact, and then type an e-mail address in the E-mail box.
  4. Click Save and Close.
  5. When you receive the appointment reminder again, click Snooze.

STATUS

Microsoft has confirmed that this is a problem in the Microsoft products that are listed in the "Applies to" section. This problem is scheduled to be corrected in a future version of the Outlook client.

Steps to reproduce the problem

  1. Start the Outlook client.
  2. Click the Microsoft CRM folder, and then click the Contacts folder.
  3. Click New Contact.
  4. Type information only in the First Name box and in the Last Name box.
  5. Click Save and Close.
  6. On the Microsoft CRM menu bar, click New. Point to New Activity, and then click Appointment.
  7. Enter the following information about the appointment:
    • In the Attendee box, enter the contact that you created in step 3 as the Attendee.
    • In the Subject box, enter a subject.
    • In the Start Time box, enter a time in the past.

      Note By entering a time in the past, you receive a reminder as soon as you save the activity.
    • In the End Time box, enter the same time that you entered in the Start Time box.
  8. Click Save and Close.
  9. You receive an Outlook reminder. Leave the default setting, and then click Snooze. The Check Names dialog box opens.
