How to turn off the creation of My Site personal sites in SharePoint Portal Server 2003 (887921)

INTRODUCTION

This article describes how to turn off the creation My Site personal sites for a site group in Microsoft Office SharePoint Portal Server 2003. When you turn off the creation of My Site personal sites for a site group, members of that site group cannot create My Site personal sites.

As an administrator, you may want to prevent certain users from creating a My Site personal site. You may also want to prevent them from using personal views and public views. Or, you may want to prevent certain users from creating a My Sites personal site, but still allow those users to use personal views and public views. This article describes how to do the following:
  • Turn off the creation of My Site personal sites for a site group. Additionally, disable personal views and public views.
  • Turn off the creation of My Site personal sites for a site group. Additionally, allow users to use personal views and public views.

Turn off My Site personal site and turn off views for members of a site group

Remove the "Use Personal Features - Use alerts and personal sites" user right from a site group. When you do this, members of that site group cannot create My Site personal sites. Additionally, they cannot use public views and private views. To do this:
  1. Connect to the home page of the portal site, and then click Site Settings.
  2. On the Site Settings page, click Manage security and additional settings Under General Settings.
  3. On the Manage security and additional settings page, click Manage site groups Under Users and Permissions.
  4. On the Manage Site Groups page, click the name of the site group that you want to configure.
  5. On the Members of SiteGroupName page, click Edit Site Group Permissions.
  6. In the Rights area of the Change Site Group Rights page, click to clear the Use Personal Features - Use alerts and personal sites check box, and then click OK.

Turn off My Site personal sites without affecting views for a site group

Remove the "Create Personal Site - Create a personal SharePoint site" user right from a site group. When you do this, members of that site group cannot create My Site personal sites. However, members of that site group can still use public views and private views. To do this:
  1. Connect to the home page of the portal site, and then click Site Settings.
  2. On the Site Settings page, click Manage security and additional settings Under General Settings.
  3. On the Manage security and additional settings page, click Manage site groups Under Users and Permissions.
  4. On the Manage Site Groups page, click the name of the site group that you want to configure.
  5. On the Members of SiteGroupName page, click Edit Site Group Permissions.
  6. In the Rights area of the Change Site Group Rights page, click to clear the Create Personal Site - Create a personal SharePoint site check box, and then click OK.

Note Consider the following scenario:
  • You want to allow some users to create a My Site personal site.
  • You want to prevent other users from creating a My Site personal site. Additionally, you want to prevent these users from using personal views and public views.
In this scenario, create a new site group, and then assign the appropriate user rights to the site group.

Note My Site is a personal site that contains personalized, customized information. To create a personal site, a user clicks My Site on the home page of the portal site. The public view of the My Site personal site contains information that the user wants to share with other users. Information in the public view may include public properties of the user's profile, links, and sites. The private view of the My Site personal site contains information that is of personal interest to the user. In the public view, information is targeted to the user. The targeted information is based on the user's membership in a particular audience. In the private view, a user can organize and access personal content, including documents, sites, alerts, links, and calendar information.
