Additional lines are added to your signature in Microsoft Outlook 2000 (883293)

SYMPTOMS

If you add your pre-composed signature to a new e-mail message in Microsoft Outlook 2000, the signature may appear to have an additional line inserted between every existing line of the signature.

For example, you enter the following pre-composed signature to a new e-mail message:

Your_Name
Your_Address
Your_Pin_Code
Your_Graphic


Your signature changes to the following in your e-mail message:

Your_Name

Your_Address

Your_Pin_Code
Your_Graphic



Note that graphics that are under the signature text are not displaced and appear as expected.

CAUSE

This problem occurs if you have turned off Microsoft Word as your e-mail editor, and if you have set your mail format to HTML.

The HTML paragraph style is automatically applied to text that is pasted in an HTML e-mail message.

RESOLUTION

To resolve this problem, follow these steps:
  1. Start Outlook 2000.
  2. On the Tools menu, click Options.
  3. Click the Mail Format tab.
  4. Click Signature Picker.
  5. Click your signature entry, and then click Edit.
  6. Put the pointer at the end of the first line of your signature, and then press Delete. This will append the second line of text to the first line of your signature.
  7. Press and hold the SHIFT key, and then press ENTER.
  8. Repeat steps 6 and 7 for every line of text in your signature entry.
  9. Click Finish, and then click OK.

If you create a new signature, use the same SHIFT+ENTER keyboard shortcut on every line of text that you create.

Microsoft has confirmed that this is a problem in the Microsoft products that are listed in the "Applies to" section.
