INTRODUCTION

This article discusses what to do if an offline database in Microsoft Business Solutions CRM Sales for Outlook (the Outlook client) reaches the Microsoft SQL Server Desktop Engine (MSDE) database size limit of 2 gigabytes (GB).

The Outlook client uses MSDE for the local client data store of each Microsoft CRM user. MSDE has a database size limitation of 2 GB. You cannot increase this limit. If the Outlook client goes over the 2 GB MSDE size limitation, you cannot go offline.

If you do not limit the database size for downloads, the SQL MSDE size limitation might be quickly reached when you go offline in the Outlook client. You can work with the CRM System Administrator to develop a plan for filtering the data.

When you click Go Offline on the Microsoft CRM toolbar in the Outlook client, you can download sales literature records, attachments to other core records, and Microsoft CRM activities. Attachments can include accounts, contacts, and cases, among other records. The records can accumulate quickly and may cause a large data set to download. If the Outlook Client goes over the 2 GB MSDE size limitation, you cannot go offline.

If you experience the MSDE database size limitation, the SQL Server Subscription will re-initialize, and you will be forced to repeat the initial synchronization. The initial synchronization must be performed on the Local Area Network.

Consider the following strategies to filter the offline data:
  • Partition the database in Microsoft CRM into smaller business units. Partitioning the database minimizes the amount of data that each Microsoft CRM user must synchronize.
  • Tighten security privileges in Microsoft CRM to minimize the number of records that each Microsoft CRM User can download. A Microsoft CRM user who has permissions to a file can download the record to the Outlook client.
