This article describes how to add contacts that are in the same category to a distribution list (DL) as a group in Microsoft Outlook 2000.

To add contacts that are in the same category to a DL as a group, follow these steps:
  1. Start Outlook 2000.
  2. In the Outlook Bar, click Contacts.
  3. On the View menu, point to Current View, and then click By Category.
  4. On the File menu, point to New, and then click Folder.
  5. In the Name box, type a name that is the same name as the category that you want to use, and then click OK.
  6. Click Yes to add a shortcut to this folder on the Outlook Bar.
  7. Select the category that contains the contacts that you want to add, and then click Copy to Folder on the Edit menu.
  8. Select the folder that you created in steps 4 and 5, and then click OK.
  9. Add an Outlook Address Book to the user profile. To do so, follow these steps:
    1. On the Tools menu, click Services.
    2. On the Services tab, click Add.
    3. In the Available information services box, click Outlook Address Book.
    4. Click OK two times.
    5. Quit and restart Outlook 2000.

      Note Only those entries that are in the Contacts folders and that are set up to appear in the Outlook Address Book appear in the Address Book dialog box.
  10. Set up a Contacts folder to appear in the Address Book dialog box. To do so, follow these steps:
    1. If the Folder List is not visible, click the View menu, and then click Folder List.
    2. Click the Contacts folder that you created in steps 4 and 5 that you want to display in the Address Book dialog box.
    3. On the File menu, point to Folder, click Properties for folder name, and then click the Outlook Address Book tab.
    4. Click to select the Show this folder as an e-mail Address Book check box, and then click OK.
  11. On the File menu, point to New, and then click Distribution List.
  12. In the Name box, type a name, and then click Select Members.
  13. In the Show Names from the box, click the Contacts folder that you created in steps 4 and 5.
  14. Select the contacts, and then click Add.
  15. Click OK, and then click Save and Close.
Note If you are not going to use the DL in future, delete it to save memory in Outlook 2000.
