XADM: Override on Public Folder Age Limit Fails (810870)



The information in this article applies to:

  • Microsoft Exchange 2000 Enterprise Server
  • Microsoft Exchange 2000 Server

SYMPTOMS

When you configure age limits for items that are in the public folders in your Exchange 2000 Server organization, those settings may have no effect on the retention of old items that are in the public folder.

CAUSE

This issue may occur if public folder age limits that are at a higher level override the settings that you configure for the public folder.

RESOLUTION

To resolve this issue, correctly configure the age limit for the folder in Exchange System Manager (ESM).

MORE INFORMATION

There are three places where you can set age limits on a folder:
  • Age Limit for All Replicas of a Public Folder - The Folder level
  • Age Limit for a Specific Microsoft Exchange Public Folder Server - The Store level
  • Age Limit for a Specific Replica - The Replica level (folder on a particular store)
The three age limits are applied in the following order:
  • Age Limit for All Replicas of a Public Folder - Lowest priority
  • Age Limit for a Specific Microsoft Exchange Public Folder Server -Medium priority
  • Age Limit for a Specific Replica - Highest priority
Setting option 2 overrides option 1. Setting option 3 overrides options 1 and 2.

For example, the age limit that is set for the "Age Limit for all folders on this Information Store" property overrides the "All Replicas" property of a specific public folder. If there is an age limit for "This Replica", it works correctly and is not overridden by the IS PF Age Limit.

Age Limit for All Replicas of a Public Folder

This age limit applies to all replicas on which they are located, no matter which computer is running Exchange 2000 Server. This setting has the lowest priority.

To set the age limit:
  1. Expand Administrative Groups, and then expand Your Administrative Group Name.
  2. Expand Folders, and then expand Public Folders.
  3. Right-click Your Public Folder Name, and then click Properties.
  4. Click the Limits tab. Click to clear the Use Public Store defaults check box, and then type the number of days that you want to use in the Age limit for replicas (days) box.

Age Limit for a Specific Exchange 2000 Server Public Folder Server

This age limit applies to all replicas on the specific computer that is running Exchange 2000 Server. This setting has medium priority.

To set this age limit:
  1. Expand Administrative Groups, and then expand Your Administrative Group Name.
  2. Expand Servers, and then expand Your Server Name.
  3. Expand Storage Group Name, right-click Public Folder Store, and then click Properties.
  4. Click the Limits tab.
  5. Click to select the Age limit for all folders in this store (days) check box, and then type the number of days that you want to use in the Age limits box.
Note This can also be configured in ESM under System Policies:
  1. Expand Administrative Groups, and then expand Your Administrative Group Name.
  2. Click System Policies.

    Note If you do not already have a System Policies folder, you must create one. To create a new System Policies folder:
    1. Right-click Your Administrative Group Name, point to New, and then click System Policy Container.
    2. Right-click the new System Policies folder, point to New, and then click Public store policy.
  3. Right-click Public Store Policy, and then click Properties.
  4. Click the Limits (Policy) tab, click to select the Age limit for all folders in this store (days) check box, and then enter the number of days that you want to use in the Age limits box.

Age Limit for a Specific Replica

This age limit applies to a specific replica on a specific computer that is running Exchange 2000 Server. This setting has the highest priority.

To set this age limit:
  1. Expand Administrative Groups, and then expand Your Administrative Group Name.
  2. Expand Servers, and then expand Your Server Name.
  3. Expand Storage Group Name, and then click Public Folder Instances.
  4. Right-click Public Folder Name, and then click Replica Properties.
  5. Click to select the Age limit for this folder on this public store (days) check box, and then type the number of days that you want to use in the box.
