Blank Lines Not Suppressed in Labels (80592)

SUMMARY

When printing labels in Microsoft Works for Windows, using the Database and the Print Labels command in the Word Processor, a blank line will be printed if the field in the Database is blank. This problem was corrected in Works for Windows 2.0a.

For example, with the following placeholders in the Word Processor

<Name>
<Company>
<Address>

a blank line will be inserted if the Company field is blank. This is because each label must have the same number of lines (to prevent the labels below from creeping upwards).

The best workaround for this problem is as follows:

  1. Sort the Database on the field(s) that may be blank. This will group all of the records with blank fields together.
  2. Go to List View in the Database and hide the records with blanks by highlighting them and choosing Hide Record from the Select menu. The only records that should be visible are those with no blanks.
  3. Return to the Word Processing file and print the labels.
  4. Remove the problem placeholder (Company in the example above).
  5. Return to the Database and choose Switch Hidden Records from the Select menu.
  6. Return to the Word Processor and reprint the labels with these records. Of course, if more than one field is blank, you will have to repeat the process for each field.
