WD: Table of Contents or Index Indicates Wrong Page Number (51470)

SYMPTOMS

In Word, when you compile a table of contents or an index, some of the page numbers are not correct.

CAUSE

Your document may have manual page breaks that are formatted as hidden text. Word does not include hidden text when it repaginates the document.

This means that the page numbers in your table of contents will be off if one or more of the manual page breaks in your document are formatted as hidden text. (Word will not recognize the manual page breaks when the table of contents or index is created.)

NOTE: When you set up a table of contents or index, it is easy to accidentally format manual page breaks as hidden text.

RESOLUTION

To avoid this problem reformat all manual page breaks. To do this, use the procedure appropriate for you version of Word.

Word Versions 6.x and Later

Follow these steps:

  1. On the Edit menu, click Replace.
  2. Click to place the insertion point in the Find What box.
  3. Click More (Word 98 only).
  4. From the Special list, click Manual Page Break.
  5. From the Format list, click Font.
  6. In the Font dialog box, under Effects, Click to select the Hidden check box. Click OK.
  7. Click to place the insertion point in the Replace With box.
  8. In the Special list, click Manual Page Break.
  9. In the Format list, click Font, and make sure that the Hidden check box under Effects is clear. Click OK, and then click Replace All.
After you have completed these steps, recompile the index or table of contents.

Word 5.0 and 5.1

Follow these steps:

  1. On the Edit menu, click Replace.
  2. Place the insertion point in the Find What box.
  3. Under Special, select Page Break.
  4. Under Format, choose Character. In the Character dialog box, under Style, select the Hidden check box.
  5. Click OK.
  6. Place the insertion point in the Replace With box.
  7. Under Special, select Page Break.
  8. Choose the Replace All button.
After you have completed these steps, recompile the index or table of contents.

NOTE: This procedure also replaces section breaks.

Word 3.x and 4.0

  1. Select a manual page break.
  2. From the Format menu, choose Character.
  3. Clear the Hidden text check box. Choose the OK button.
  4. From the Edit menu, choose Copy. Click anywhere in the document so that no text is selected.
  5. From the Utilities menu, choose Change (in Word 3.0x, choose Replace from the Search menu).
  6. In the Find What box, type ^d. In the Change To box, type ^c.
  7. Choose the Change All button.
After you have completed the steps above, recompile the index or table of contents.

NOTE: This procedure replaces all page breaks and section breaks with the contents of the Clipboard, which in this case is a page break that is not formatted as hidden text.

MORE INFORMATION

Unintentional hidden text formatting usually occurs when a manual page break is entered directly before or after an index entry (.i.) or table of contents entry (.c.) because the page break is retaining the hidden format given to the .i. or .c. entry.
