Incorrect values for Unit Availability are displayed in Resource Graph view in Microsoft Project (321668)

SYMPTOMS

If you specify the availability of a resource in the Resource Information dialog box, and you then view this information in Resource Graph view, the graph may display unexpected Unit Availability values. The Unit Availability values are not what you expect for the resource in the time periods that immediately precede or immediately follow the dates that you set in the Resource Availability table.

CAUSE

This behavior may occur if you set the resource availability period to use dates other than the first and last day of the specified month. In views that use time-phased data format (such as Resource Graph view and Resource Usage view), Microsoft Project does not assume 0% availability for the time periods that immediately precede or immediately follow the resource availability periods as defined by the Available From and Available To dates.

RESOLUTION

To work around this issue, specify a value of 0% Unit Availability for the time periods that immediately precede and immediately follow the time period or periods that you want to use for the resource's availability. To do this, follow these steps:
  1. Start Microsoft Project, and then open your project file.
  2. On the View menu, click Resource Sheet.
  3. Right-click the resource that you want, and then click Resource Information.
  4. Click the General tab.
  5. In the Resource Availability table, specify a value of 0% in the Units field. Specify a value of NA in either the Available From field or Available To field (as appropriate) for all time periods other than the time periods that you want to use for the resource's availability. To do so:
    1. In the first row, type NA in the Available From field. In Available To field, type the date that immediately precedes the Available From date that you want to define for your resource. In the Units field, specify a value of 0%.
    2. In the second row, set the availability for your resource by specifying the availability dates and unit value that you want. Repeat this step in subsequent rows for each availability entry that you want to set for the resource.
    3. In the row after your last availability entry, in the Available From field, type the date that immediately follows the last Available To date. In the Available To field, type NA. In the Units field, specify a value of 0%.
  6. Click OK.

STATUS

Microsoft has confirmed that this is a problem in the Microsoft products that are listed at the beginning of this article.

The behavior that is described in the "Symptoms" section of this article may occur in any view that displays Units Availability either in a graph or in time-phased data format, including the Resource Graph view, the Resource Usage view, the Remaining Availability graph, and the Assignment Work graph in the Team Builder dialog box and the Assign Resources dialog box.
