The document is not printed correctly as it shows in Print Preview and Normal view (319181)

SYMPTOMS

When you print a document in Microsoft Word, the dimensions of the body of the document may be reduced, and the right margin and bottom margin may be expanded, when compared to the dimensions that you configured in Page Setup. The right margin may also be expanded in Print Layout view, but the document is displayed correctly in Print Preview and Normal view.

CAUSE

This issue may occur if both of the following conditions are true:
  • Your document includes comments or tracked changes.
  • The Reviewing view is not set to Final.
Word inserts the comments at the bottom of the page and inserts the tracked changes in the right margin. The extra space needed for the comments and tracked changes shows up on every page of the document, even if a particular page contains no comment or tracked change.

RESOLUTION

To resolve this issue, use one of the following methods, as appropriate to your circumstances.

Method 1: Print without accepting tracked changes

Follow these steps if you do not want to print changes or comments:
  1. If the Reviewing toolbar is not visible, point to Toolbars on the View menu, and then click Reviewing.
  2. In the Display for Review list on the Reviewing toolbar, click Final.

    -or-

    On the View menu, click to clear the Markup check box.
You can now print the document typically.

Method 2: Accept changes and comments

To accept the changes, delete all comments, and then print the document, follow these steps:
  1. If the Reviewing toolbar is not visible, point to Toolbars on the View menu, and then click Reviewing.
  2. On the Reviewing toolbar, click the arrow on the Accept Change button, and then click Accept All Changes in Document.
  3. On the Reviewing toolbar, click the arrow on the Reject Change/Delete Comment button, and then click Delete All Comments in Document.
  4. On the File menu, click Print.
  5. In the Print what list, select Document, and then click OK.

Method 3: Print from Print Preview

You may resolve this issue by printing from the Print Preview view. To do this, follow these steps:
  1. Click File, and then click Print Preview.
  2. Click File, and then click Print.
