Visio2002: Report Definitions Are Lost When You Save File as a Visio 5.0 Drawing (297446)

SYMPTOMS

When you save a Microsoft Visio 2002 drawing that contains report definitions as a Microsoft Visio 5.0 drawing, the report definitions are lost when you open the drawing again in Microsoft Visio 2002.

CAUSE

This behavior occurs when you save the report definition in the drawing. In Visio 2002, you can save a report definition in a .vrd file or in a drawing. You cannot save a report definition in a drawing in Microsoft Visio version 5.0 and earlier. As a result, when you save a report definition in the drawing, and then save the drawing in Visio 5.0 format, the report definition information is lost in the conversion.

RESOLUTION

To work around this issue, create a report definition, and then save it in a .vrd file before you save the drawing in Visio 5.0 format. When you re-open the drawing in Visio 2002, the report definition will be available for further reporting. To do this, follow these steps:
  1. Start Microsoft Visio 2002.
  2. On the File menu, click Open, locate your drawing file, and then click Open.
  3. On the Tools menu, click Report, and then click New to start the Report Definition Wizard in the Report dialog box.
  4. Under Choose the shapes you want to report on, click the option that you want, and then click Next.
  5. Under Choose the properties you want displayed as columns in your report, click the properties that you want, and then click Next.
  6. Under Report Title, type a name, then click Next.
  7. Under Save the report definition, type a name in the Name box. Type a description in the Description box (if you want to).
  8. Click Save in a file, and either accept the default location or click Browse to specify a location that you want, and then click Finish.
  9. In the Report dialog box, note that the report definition that you created is listed under Report Definitions. Click OK.
  10. On the File menu, click Save as.
  11. In the Save as type box, click Visio 5 Drawing (*.vsd), and then type a name in the File name box. Specify a location where you want to save the drawing, and then click Save.
  12. On the File menu, click Close.
  13. On the File menu, click Open, locate your drawing file, and then click Open.
  14. On the Tools menu, click Report. The report definition that you created now appears on the list. To generate a report, click the report definition, and then click Run.

Microsoft has confirmed that this is a problem in the Microsoft products that are listed at the beginning of this article.
