XADM: Public Information Store Grows Significantly When the Deleted Item Retention Functionality Is Enabled (287544)

SYMPTOMS

When you enable the Deleted Item Retention functionality, the public information store grows by more than the daily activity of the public information store.

CAUSE

This issue can occur because the Offline Address Book folder, which is a system folder that is kept in the public information store, is routinely updated with a new offline Address Book by the Microsoft Exchange System attendant. The default schedule is set to 4 A.M. every morning. If the Address Book Generation Schedule is set to Always, a new offline Address Book is created every fifteen minutes, and the previous version of the offline Address Book is subsequently deleted. Each time this cycle occurs, the size of the store increases by the size of the offline Address Book.

RESOLUTION

To resolve this issue, use either of the following methods:
  • Change the Offline Address Book Generation Schedule. If you reduce the frequency of offline Address Book generation, you reduce the number of copies that are "soft deleted" and kept in the public information store.

    -or-
  • Reduce the number of days that you specify when you configure the Deleted Item Retention functionality. If you reduce the number of days that items are retained, you reduce the number of deleted offline Address Books that are kept in the public information store.

WORKAROUND

The size of the public information store eventually stabilizes. The growth of the public information store stabilizes after the time period set in the Deleted Item Retention functionality and online maintenance has run against the store. At that point, the space used by the deleted offline Address Books is marked as white space, and is available for new data.
