PPT2002: Comments from Earlier Versions Are Visible During a Slide Show (285210)
The information in this article applies to:
- Microsoft PowerPoint 2002
This article was previously published under Q285210 SYMPTOMS
If you open a presentation that was created with an earlier version of PowerPoint and the presentation contains comment fields on different slides, the comments are visible when you either start a slide show or print the presentation.
CAUSE
Earlier versions of PowerPoint use special AutoShapes that are not displayed as comment objects during a slide show. These comments are not fixed text fields, but are special shapes that contain the current user's registered name in bold, followed by one or more lines of text.
PowerPoint 2002 does not convert these earlier-style comments into the current comment format. As a result, the earlier comments are visible during a slide show and when you print the presentation.
RESOLUTION
You must manually convert the older comment shapes to the new format. To do this, follow these steps:
- Go to the slide that contains the comment shapes that you want to convert.
- Select the text in the comment shape.
- On the Edit menu, click Copy.
- On the Insert menu, click Comment.
- Press CTRL+V to paste the text into the new comment. Use only the keyboard, and not the mouse to paste the text.
- Click the original comment shape and press DELETE to remove the comment.
