When you use SharePoint Portal Server Administration to view the properties of a server, when you click the General tab, the following boxes are displayed:
  • E-mail address
  • SMTP server

The address that you type in the E-mail address box is provided to a Web site when SharePoint Portal Server creates an index of the site. Typically, this address is logged in the Web site's server logs so that the administrator can contact you. You must type a valid e-mail address in this box so that you can be notified if the indexing process is affecting the Web site adversely. If you do not, the Web site administrator may prevent you from accessing and indexing their site. You must provide an e-mail address before you can index Web sites. Type the address in Simple Mail Transfer Protocol (SMTP) format, for example, user@domain.com.

SharePoint Portal Server uses the name that you type in SMTP server box to send subscription notifications and document approval messages. All workspaces on the server use the same SMTP server. If you do not type the name of a valid SMTP server in this box, users cannot receive subscription notifications or document approval messages.

A description of the E-mail address box is displayed under the box in the server's properties. There is no description of the SMTP server box; however, if you are using SharePoint Portal Server Administration, if you place the curser in the SMTP server box, and then press F1, the following context-sensitive help is displayed:
