ENT2001: Contact Data That You Import Contains Quotation Marks (273522)

When you import data from a comma separated values (.csv) file to your Entourage contacts, the quotation marks ("") that separate items in the fields are imported.
WORKAROUND
To work around this problem, use one of the following methods to delete the quotation marks from the data before you import it.
Method 1: How to Use Word to Remove the Quotation Marks
To remove the quotation marks from the .csv file by using Microsoft Word:
- On the File menu, click Open.
- In the Open:Microsoft Word dialog box, click Show, and then click All Documents.
- Locate the .csv file on your hard disk, and then click Open.
- On the File menu, click Replace.
- In the Find What box, type the quotation mark character.
- Leave the Replace With box empty, and then click Replace All.
- Click Save As on the File menu, verify that the format is text only, and then click Save.
Method 2: How to Use Excel to Remove the Quotation Marks
To remove the quotation marks from the .csv file by using Microsoft Excel:
- On the File menu, click Open.
- In the Open:Microsoft Excel dialog box, click Show, and then click All Documents.
- Locate the .csv file on your hard disk, and then click Open. Note that Excel displays the converted file without the quotation marks.
- On the File menu, click Save As.
- In the Format dialog box, click Text (Tab Delimited), and then click Save. You may want to change the file name for this new format.
How to Import the Data to Entourage Contacts
To import the data to contacts, locate the data file and then map the data file fields to the Entourage fields. Map the fields to match the data structure in the data file so that it can be organized in the Entourage format. For example, if your data file contains fields labeled "First" and "Last," map each of these fields to the corresponding Entourage fields, "First Name" and "Last Name." If there is data that you do not want to import, do not map those fields so that they are ignored during the import process.
To import the data file:
- On the File menu, click Import.
- In the Begin Import dialog box, click Import Information from a Text File. Verify that the Import contacts from a tab- or comma-delimited text file option is selected and then click the arrow to proceed to the next page.
- In the Import Text File dialog box, click the text file that you want to import, and then click Import.
- In the Import Contacts dialog box, fields from the imported file are displayed on the right and Entourage fields are displayed on the left. To map the fields, click Previous to display the field labels instead of data.
- In the Unmapped Fields dialog box, click the field that you want to map, and then drag it to the Mapped Fields box. Release the mouse button over the white portion of the column. The Field Button icon appears with the mapped fields. To finish this procedure, you must scroll through both lists to match data to the receiving fields.
- Map all of the fields from the Unmapped Fields box to the Mapped Fields box until you have mapped the data that you want to import.
- Click Import, and then click Finish.
