Excel saves workbook in earlier version format even though you cancel the Save operation in Excel for Mac (272869)

SYMPTOMS

In the versions of Microsoft Excel for Mac listed in the "Applies To" section, when you attempt to save a workbook in the format of an earlier version, you receive a warning similar to the following:

MyWorkbook may contain features that are not compatible with Microsoft Excel 5.0/95 Workbook. Do you want to keep the workbook in this format?

where MyWorkbook is the name of the workbook that you are saving.

If you click No, Excel still saves the file in the format of the earlier version, even though you attempt to cancel the save operation.

CAUSE

This behavior occurs if the workbook contains a feature that is new in your version of Excel and is not available in the earlier format. The file is saved in the earlier format before the warning occurs. If, after you click No in the warning, you click Cancel in the Save As dialog box, the new features are lost in that file when you close and reopen it.

Examples of new features include the Euro symbol in currency formats, and the list object.

WORKAROUND

To work around this issue, use either of the following methods.

Method 1

If you want to retain the features new to your version of Excel, follow these steps:
  1. Do not click Cancel the Save As dialog box.
  2. Save the file in the newest format. In the Save As dialog box, change the file Format to Microsoft Excel Workbook or Microsoft Excel 2001 Workbook, and then click Save.

    You receive a warning similar to the following:

    A document called "MyWorkbook" already exists. Are you sure you want to replace the existing document with this one?

  3. Click Replace.

Method 2

If you want to have a second file with the new features that were not included in the first save operation, follow these steps:
  1. Change the file name. Keep the format as Microsoft Excel 2001 Workbook or Microsoft Excel Workbook.
  2. Click Save.

    This does not replace the original file, but creates a second file that has the features new to your version of Excel.

STATUS

Microsoft has confirmed that this is a problem in the Microsoft products that are listed at the beginning of this article.
