WD2000: DMM: State Name Is Replaced by Part of City Name (272679)

SYMPTOMS

When you perform a mail merge operation with an address list that contains city names that comprise two or more words (for example, Los Angeles), the last word of the city name replaces the text of the following field.

For example, if the field that follows the CITY field is STATE,

CITY

STATE

Los Angeles

CA



the last word of the CITY field replaces the text of the STATE field, as in the following example:

CITY

STATE

Los Angeles

ANGELES

CAUSE

This problem results from the way that Direct Mail Manager parses the last address line during the address verification process. This can occur in either of the following situations:
  • Envelope Manager Software DAZzle is installed.

    -or-
  • Direct Mail Manager has an incorrect mapping of address fields.

WORKAROUND

To work around this problem, use one of the following methods appropriate for your situation.

Method 1: If Envelope Manager Software DAZzle Is Installed

  1. Start Envelope Manager Software DAZzle.
  2. On the File menu, click Preferences.
  3. On the View tab, click to clear the Force Main Address to All Capitals check box, and then click OK.

Method 2: Change the Mapping of Address Fields in Direct Mail Manager

This problem may not be apparent when you view the Sample Address in Direct Mail Manager. To verify that Direct Mail Manager has a correct mapping of address fields, follow these steps:
  1. In Direct Mail Manager, select your address list file, and then click Next.
  2. When Direct Mail Manager asks Is the address shown correctly?, click to select No, the address is not shown correctly here., and then click Next.
  3. Verify that the address fields from your address list file are correctly mapped to the fields in Direct Mail Manager.

    For example, when you use a Microsoft Access database (*.mdb) file, make sure that the StateOrProvince field from your address list is correctly mapped to the State/Province field in Direct Mail Manager.

    If the field is not correctly mapped, click to select the field in your address list file, and then click to select the correct field in the Direct Mail Manager box. A connecting line should appear between the two fields.
  4. Click Next to continue your mail merge in Direct Mail Manager.

Method 3: Export Your Address List

In the program that contains your address list, export the list as a delimited text file. Then use the text file as your address list in Microsoft Direct Mail Manager.
