As a Personal Information Manager (PIM), Entourage was not developed as an e-mail or collaborative client for Microsoft Exchange Server. However, there are certain standards that are supported by Entourage that allow you to take limited advantage of some of the Microsoft Exchange Server features.

How to Use Entourage As a Messaging Client on Microsoft Exchange Server

As a standards-based messaging client, Entourage supports the two major Internet Messaging protocols POP3 and IMAP. Exchange Server includes support for these protocols as well. You can configure the POP3 or IMAP account in Entourage to use the Exchange Server if these protocols are implemented. Consult with your network administrators for the server parameters to use when you create the account. Configuration of the POP3, IMAP, and LDAP protocols on the Exchange Server depends on the activation by the administrator.

The following section describes how to use both POP3 and IMAP Protocols.

How to use the POP3 Protocol

The POP3 mail standard requires that the server deliver messages to the client during log on, which leaves the server mail drop empty after delivery. Because of this design, remote users that attach to an Exchange Server with Entourage should configure their accounts to leave their messages on the server. By doing this, when they return to the enterprise where the delivering server is located, their messages are available for viewing with other clients.

How to Use the IMAP Protocol

The IMAP mail standard is opposite of the POP3 standard. The design of this standard specifies that messages are left on the server unless you choose to download the messages locally. The IMAP standard allows you to create server-based folders outside the mailbox where messages are stored publicly. You can use public folders that are implemented on the Exchange Server in this manner.

Settings for Exchange Security

You must select certain security options in the Account settings to send and receive messages to the Exchange Server recipients from Entourage that are configured either as a POP3 or IMAP client. To do this:
  1. On the Tools menu, click Accounts.
  2. In Receiving Mail, click Click here for advanced receiving options, and then click to select the Always Use Secure Password check box.
  3. In Sending Mail, click Click here for advanced receiving options, and then click to select the SMTP Server Requires Authentication check box.

    NOTE: Your network administrator may require that you supply your Account ID and Password.

How to Access the GAL as an Address Book by Using the LDAP

Entourage displays information from the Microsoft Exchange Server Global Address List (GAL) if the LDAP is activated for the server.

Use the following steps to configure and access the GAL as an LDAP server:
  1. On the Tools menu, click Accounts.
  2. On the Directory tab, click New.
  3. In Internet Directory Service, type the Exchange Server name in the Internet Directory (LDAP) server box. If your network administrator requires a password, click My LDAP server requires me to login, and then click the right arrow to advance to the next screen.
  4. Type a descriptive name for the LDAP account, and then click Finish.
  5. To search the GAL for recipients, click the Tools menu, and then click Directory Services.
  6. In the Search for Name or E-mail box, type the search criteria. You can click Display Names Containing to assist in narrowing the search. The more information that you enter in the this field, the more you can narrowly define the search.
  7. Click Find when you are ready to search.
