SUMMARY

Microsoft Works Calendar can be automatically updated with birthday and anniversary information that you already have in the Microsoft Windows Address Book.

Additionally, if there is a date conflict between a birthday or anniversary in Works Calendar and a birthday or anniversary in the Windows Address Book, you are notified of the conflict and presented with options to resolve the conflict.

The following examples explain how to enter birthday and anniversary data into the Windows Address book and then enter the data into Works Calendar. A further example explains how to resolve a date conflict between the Windows Address Book and Works Calendar.

Note Use the following examples in sequence. Each example builds upon the previous example.

Example 1: Enter a Birthday and Anniversary into the Windows Address Book

  1. Start the Windows Address Book

    Note The Windows Address Book can be started from Accessories under Programs on the Start menu, from Microsoft Works under Programs on the Start menu, and from the Works Task Launcher.
  2. On the Address Book toolbar, click New, and then click New Contact.
  3. On the Name tab, type John in the First box, and then type Smith in the Last box.
  4. On the Personal tab, enter August 18, 2000 in the Birthday box, and then enter September 18, 2000 in the Anniversary box.
  5. Click OK, and then close the Windows Address Book.

Example 2: Automatically Add the Dates to Works Calendar

  1. Start Microsoft Works Calendar

    Note Works Calendar can be started from Microsoft Works under Programs on the Start menu, and from the Works Task Launcher.
  2. When the Works Calendar message appears, click Yes, update now. Note that John Smith's birthday and anniversary are added to Works Calendar.

Example 3: Update the Address Book Data While Works Calendar Is Running

  1. Start the Windows Address Book.
  2. On the Address Book toolbar, click New, and then click New Contact.
  3. On the Name tab, type Jane in the First box, and then type Jones in the Last box.
  4. On the Personal tab, enter August 19, 2000 in the Birthday box, and then enter September 19, 2000 in the Anniversary box.
  5. Click OK, and then close the Windows Address Book.
  6. Switch to Works Calendar.
  7. On the Edit menu, click Birthdays.
  8. When the message appears stating that the Calendar has been updated, click OK. Note that Jane Jones's birthday and anniversary are added to Works Calendar.

Example 4: Change a Date in the Address Book

  1. Start the Windows Address Book.
  2. Double-click Jane Jones.
  3. On the Personal tab, enter August 20, 2000 in the Birthday box.
  4. Click OK, and then close the Windows Address Book.
  5. Switch to Microsoft Works Calendar.
  6. On the Edit menu, click Birthdays.
  7. When the Works Calendar message appears, click Address Book date is correct: August 20, and then click Update Now.
  8. Click OK.
  9. Note that Jane Jones's birthday has been updated.

Example 5: Change a Date in Works Calendar

  1. Click View Month on the Works Calendar toolbar.
  2. Scroll to August 2000.
  3. Double-click Birthday: John Smith on August 18th.
  4. Click Open the series, and then click OK.
  5. Click Recurrence.
  6. In the second box next to On, enter 19th.
  7. Click OK two times.
  8. Note that John Smith's birthday has been updated.
  9. Start the Windows Address Book.
  10. Double-click John Smith.
  11. On the Personal tab, note that John Smith's birthday is still August 18th.
  12. Close the Windows Address Book.
  13. Switch to Works Calendar.
  14. On the Edit menu, click Birthdays.
  15. When the Works Calendar message appears, select Calendar date is correct: August 19, and then click Update Now.
  16. Click OK.
  17. Start the Windows Address Book.
  18. Double-click John Smith.
  19. On the Personal tab, note that John Smith's birthday is now August 19th.
