WD2001: Cannot Create Numbered or Bulleted Contact List Using AutoText Feature (269935)

SYMPTOMS

When you use the AutoText feature in Microsoft Word 2001 to create a numbered or bulleted list of contacts from your address book, Word may suggest the complete AutoText entry for the first contact in your list, but it does not suggest the complete AutoText entry for subsequent contacts that you type.

If you type a contact, and then press ENTER twice to add a second contact, Words ends the list.

CAUSE

This behavior can occur because of a conflict between the way a list is created and the way that Word adds contact information to a document.

When a contact is added to a document using the AutoText feature while your pointer is in a numbered or bulleted list, pressing the ENTER key twice may have conflicting results.

Pressing the ENTER key twice while using the AutoText feature to add contacts from the Address Book causes Word to end the block of text for the current contact and begin a new block of text for a new contact. However, pressing the ENTER key twice also causes Word to end a numbered or bulleted list.

WORKAROUND

To work around this issue, first type the list of contacts, and then apply bullets or numbering to your list.

To do this, follow these steps:
  1. Start Microsoft Entourage, and then add your contacts to the Address Book.
  2. Start Word and create a new blank document.
  3. On the Tools menu, click AutoCorrect.
  4. Click the AutoText tab, and then click to select the Show AutoComplete entries for Contacts in your Address Book check box. Click OK.
  5. In the document, begin typing the first few characters of the contact that you want to add to your list. When Microsoft Word suggests the complete AutoText entry, press ENTER to accept the entry. (To reject the AutoText entry, keep typing.)
  6. Press ENTER twice to start a new line, and then begin typing the first few characters of the next contact that you want to add to your list. When Microsoft Word suggests the complete AutoText entry, press ENTER to accept the entry.
  7. Continue adding new contacts in this way until your list is complete.
  8. Select the list of contacts, and then click the Numbering or Bullets tool on the Formatting toolbar to add numbers or bullets to your contact list.

STATUS

Microsoft has confirmed that this is a problem in Microsoft Office 2001 Macintosh Edition.

MORE INFORMATION

When you add a contact to a document by using the AutoText feature, Word automatically completes the name of the contact.

When you press the ENTER key, Word "expects" that further information is to be added about that contact (such as the address or phone number) and it remains within a gray highlighted block of text pertaining to that contact. If no further information is added and you press the ENTER key a second time, Word assumes that the contact information is complete and exits from the gray-highlighted block of text.

However, when you press the ENTER key twice while Word is in a numbered or bulleted list, Word ends the list.
