CG5: Clip Art from Earlier Versions Is Unavailable After You Upgrade to Office 2000 (262875)

SYMPTOMS

When you upgrade from an earlier version of Microsoft Office to Office 2000, all earlier versions of clip art may no longer be available after the upgrade process.

CAUSE

This behavior can occur for one of the following reasons:
  • When Microsoft Clip Gallery 5.0 is started for the first time, it must create index updates for older versions of the program. If you bypass this process, Clip Gallery cannot display the clip thumbnails from earlier versions.

    -or-
  • The earlier version of Clip Gallery was uninstalled before the upgrade to Office 2000 and related programs that use Clip Gallery 5.0. In many cases, the old Clip Gallery catalog files (*.cag) are left behind and are then indexed, but they point to a location that no longer contains the clip files. The catalog files provide thumbnail previews, but the actual clips are unavailable.

    -or-
  • The earlier version was installed to run from compact disc, with or without the *.cag files resident on the hard disk.

WORKAROUND

NOTE: Because there are several versions of Microsoft Windows, the following steps may be different on your computer. If they are, see your product documentation to complete these steps.

Let Clip Gallery Index Clips

Allow Clip Gallery to complete the indexing of the clip art from earlier versions. This process may take some time if you have an extensive collection and have created your own personal catalogs. Follow these steps to complete the process:
  1. Click Start, point to Programs, point to Accessories, and then click Windows Explorer.
  2. Navigate to the following folder:

    C:\Program Files\Common Files\Microsoft Shared\Artgalry\

  3. Double-click Cag.exe to start Clip Gallery in stand-alone mode.
  4. Let Clip Gallery complete the indexing process.

Import Clips from Earlier Versions into Clip Gallery

There are two methods that you can use to import clips from earlier versions:
  • Manually copy all clip art files and catalogs from the earlier version of the product compact disc to a Clipart folder on the hard disk, and then import the *.cag files into Clip Gallery 5.
  • Start Clip Gallery, and then import the catalogs from the earlier version of the product compact disc, leaving all the clips from the earlier version on the compact disc.
Use the first method if there is sufficient space on drive C to hold all of the earlier version clip art.

The second method uses the least amount of hard disk space. Clip Gallery has to create special reference files to the earlier version catalogs, *.sdb files, so that it can have access to the older clips. The *.sdb files do not replace the earlier version catalog files, they simply augment them. The *.sdb files contain additional information necessary for Clip Gallery 5.0 to use the earlier version .cag files. These files are created during the indexing of earlier version catalogs, and are about one-tenth the size of the *.cag files they are created for.

Method 1: Importing Earlier Version Clip Art Files from Hard Disk

  1. Click Start, point to Programs, point to Accessories, and then click Windows Explorer.
  2. Pick a location where you want to copy the earlier version clip art and create a folder there if needed. If you want to put it with the rest of Office 2000's collection of clip art, create a sub folder in the following location and name it Old Clipart:

    C:\Program Files\Common Files\Microsoft Shared\Clipart\

    Do not mix the different versions together because you may accidentally overwrite a newer clip file with a totally different earlier version clip file with the same name.
  3. Insert the compact disc that contains the clips that you want to import into your CD-ROM drive.
  4. Navigate to the clip art folder on the compact disc and open it.
  5. On the Edit menu click Select All.

    This should select all the files and folders in the earlier version clip art folder.
  6. On the Edit menu click Copy.
  7. Navigate to the folder that you chose or created in step 2 and click it.
  8. On the Edit menu click Paste.

    Windows now starts copying the files from the compact disc to the folder location.
  9. When Windows is finished copying the clips, navigate to the following folder:

    C:\Program Files\Common Files\Microsoft Shared\Artgalry\

  10. Double-click Cag.exe, starting Clip Gallery in stand-alone mode.
  11. Click Import Clips.
  12. In the Add clip to Clip Gallery window, browse to the folder created in step 2.
  13. Change Files of type to Clip Gallery catalogs.
  14. Select all *.cag files and click Import. The following message is displayed:

    The clip catalog has been added to the Clip Gallery.
    You must quit and restart Clip Gallery to view the new catalog.

    NOTE: With some earlier version collections, it may be necessary to go into individual subfolders of the collection one at a time to find all the *.cag files. In that case, repeat steps 11 through 14 until you have imported all the earlier version *.cag files before moving on to step 15.
  15. Quit and restart Clip Gallery.
  16. Allow Clip Gallery to index the files, completing the clip art file import.

Method 2: Importing Earlier Version Clip Art Files from CD-ROM Drive

  1. Insert the compact disc that contains the clips that you want to import.
  2. Click Start, point to Programs, point to Accessories, and then click Windows Explorer.
  3. Navigate to the following folder:

    C:\Program Files\Common Files\Microsoft Shared\Artgalry\

  4. Double-click Cag.exe, starting Clip Gallery in stand-alone mode.
  5. Click Import Clips.
  6. In the Add clip to Clip Gallery window, navigate to the clip art folder on the earlier version compact disc.

    NOTE: If you do not know where these *.cag files are, click Start, point to Search, and then click For Files or Folders. Search your hard disks for *.cag.
  7. Change Files of type to Clip Gallery catalogs.
  8. Select all *.cag files and click Import. The following message is displayed:

    The clip catalog has been added to the Clip Gallery.
    You must quit and restart Clip Gallery to view the new catalog.

    NOTE: With some earlier version collections, it may be necessary to go into individual subfolders of the collection one at a time to find all the *.cag files. In that case, repeat steps 5 through 8 until you have imported all the earlier version *.cag files before moving on to step 9.
  9. Quit and restart Clip Gallery.
  10. Allow Clip Gallery to index the files, completing the clip art file import.
