XCCC: Unable to Extend Conference Longer Than One Hour in Exchange Conferencing Service (262031)

SYMPTOMS

After a conference organizer extends a conference's end time to more than one hour after the original end time, the change is not reflected on the conference Web page. However, if the organizer extends the end time to less than one hour, the change is reflected correctly.

In addition, after the end-time extension is reflected in the Calendar view of Microsoft Outlook 2000, the conference organizer receives e-mail with the following message:

The Microsoft Exchange 2000 Conferencing Server was not able to process your meeting because the requested conferencing resources are overbooked.

CAUSE

This behavior occurs because the conference resource is configured to use multiple Conference Technology Providers (CTPs), and one of the CTPs is the video conferencing provider. By default, the maximum conference extension time is set to 60 minutes. Any extensions over this parameter does not correctly commit and update the extension.

RESOLUTION

To resolve this behavior, the organizer can modify the video conference provider to allow larger time extensions.

To Modify Video Conference Provider Configuration

  1. On the toolbar click Start, point to Programs, and then click Microsoft Exchange. Click System Manager.
  2. Locate the conferencing object, right-click this object, and then click Manage.
  3. Select the appropriate site, and then click OK.
  4. Highlight the Site Name Conferencing Site object, click Video Conferencing Provider, and then click Properties.
  5. Modify the Maximum conference extension time in minutes box as necessary.
After the organizer completes these changes, conference resources serviced by a video CTP can be extended to the new time limit set in the Video Conference Provider settings object.
