OL97: Contacts Imported from Excel Are No Longer Shared (257721)

SYMPTOMS

When you use a shared Outlook Contacts folder, export the contacts to a Microsoft Excel file, and then import the contacts back into Outlook, the shared contacts are marked as "private" and may not be available to some users in the shared Contacts folder.

WORKAROUND

You can check each contact to see if it is marked as "private." To do this, open the contact and see if the Private check box is selected on the General tab. You can change the status of the Contacts if you open each contact and click to clear the Private check box.

If you have a large number of Contacts, you can export the Contacts to a Comma Separated Values (.csv) text file, manually change the entries, and then import the modified contacts back into Outlook:

Export Your Contacts to a .csv File

  1. On the File menu, click Import and Export.
  2. Click Export to a file, and then click Next.
  3. Click the Contacts folder that you want to export, and then click Next.
  4. Locate and open the .csv file that you created.
  5. Under the Private column heading, change the values to False.
  6. In the Sensitivity column heading, change the values to Normal.
  7. Import the .csv file back into your Outlook Contacts.

Import Your Contacts Back into Outlook

  1. On the File menu, click Import and Export.
  2. Click Import from Schedule+ or another program or file, and then click Next.
  3. click Microsoft Excel, and then click Next.
  4. Type the path and filename of your file or click Browse to locate the file.
  5. Click Allow duplicates to be created, and then click Next.
  6. Click your Contacts folder, click Next, and then click Finish.
When you import the .csv file back into Outlook, the contacts are available to delegates who have permissions to view contacts.
