PRJ: Assignments Not Shown in Crosstab Report (242608)

SYMPTOMS

In Microsoft Project, when you print or print preview a crosstab report that should display resource or task assignments, assignments may not be displayed.

For example, Microsoft Project includes some of the following default crosstab reports: Task Usage, Resource Usage, and Who Does What When.

CAUSE

This behavior may occur when you apply a filter to a crosstab report. When you do this, Microsoft Project does not display resource or task assignments that do not meet the filter criteria, even when the option to display assignments is selected.

WORKAROUND

To work around this behavior, use any of the following methods.

Method 1: Use the Task Usage or Resource Usage View

In the Task Usage and Resource Usage views, you can filter tasks or resources and also view their assignments. To do this, follow these steps:

NOTE: The usage views do not display row and column totals.
  1. On the View menu, click Task Usage or Resource Usage, depending on the information that you want to see.
  2. On the Project menu, point to Filtered for, and then click More Filters.
  3. Click the filter that you want to apply.
  4. Click Copy.
  5. Click to clear the Show related summary rows check box.
  6. Add the following new row to the filter that you want to apply:

    And/OrField NameTestValue(s)
    AndAssignmentEqualsNo
  7. Click OK.
  8. Click Apply.
  9. Click the heading of the Resource Name or Task Name column.
  10. On the Project menu, point to Outline, and then click Hide Assignments.
  11. If needed, repeat the previous step.

Method 2: Create a Filter That Filters on a Flag Field

Change the value of a flag field for all tasks or resources whose assignments you want to view. When the report uses this filter, it includes the assignments with the tasks or resources. To do this, follow these steps:

Create the Filter

  1. On the Project menu, point to Filtered for, and then click More Filters.
  2. In the More Filters dialog box, click Task if you want to filter for tasks in the crosstab report. Or, click Resource if you want to filter for resources in the crosstab report.
  3. Click New.
  4. In the Name box, type Flag1.
  5. In the Field Name column, type Flag1. In the Test column, type equals. In the Value(s) column, type Yes.
  6. Click OK.
  7. Click Close.

Set the Flag Field for the Tasks or Resources

  1. On the View menu, click Task Usage if you want to display tasks in the crosstab report. Or, click Resource Usage if you want to display resources in the crosstab report.
  2. Click the Work field in the table (left) portion of the view.
  3. On the Insert menu, click Column.
  4. In the Field name list, click Flag1, and then click OK. Optionally, you can click a different Flag field up to Flag20.
  5. On the Project menu, point to Filtered for, and then click More Filters.
  6. Click the filter that you want to apply. Click Edit.
  7. Click to clear the Show related summary rows check box.
  8. Add the following new row to the filter that you want to apply:

    And/OrField NameTestValue(s)
    AndAssignmentEqualsNo
  9. Click OK.
  10. Click Apply.
  11. Click the heading of the Resource Name or Task Name column.
  12. On the Project menu, point to Outline, and then click Hide Assignments.
  13. Repeat the previous step.
  14. Change the value of the flag field to Yes for all tasks or resources whose assignments you want to display in the crosstab report:
    1. Change the Flag1 field for the first task to Yes.
    2. Click the heading of the Flag1 column to select the column.
    3. On the Edit menu, point to Fill, and then click Down.

      NOTE: Microsoft Project only changes the flag field for the tasks or resources. The following steps change the flag field for the assignments.
    4. Click No in the Flag1 field for the first assignment, and drag your mouse down to select all tasks/resources and assignments that are below the first assignment that you clicked.
    5. On the Edit menu, point to Fill, and then click Down.
  15. Optionally, you can hide the Flag field after you have changed the values.

Change the Filter for the Report

  1. On the View menu, click Reports.
  2. Click Custom, and then click Select.
  3. Select the crosstab report that you want to print.
  4. Click Edit.
  5. On the Definition tab, in the Filter list, click the Flag1 filter.
  6. Click OK.
  7. Preview or print the report.

Method 3: Use a Highlight Filter

This method shows all tasks or resources and their assignments. The tasks or resources that meet the filter criteria are highlighted.
  1. On the View menu, click Reports.
  2. Click Custom, and then click Select.
  3. Select the crosstab report that you want to print.
  4. Click Edit.
  5. On the Definition tab, in the Filter list, click the filter that you want to use.
  6. Click to select the Highlight check box.
  7. Click OK.
  8. Preview or print the report.

STATUS

Microsoft has confirmed that this is a problem in the Microsoft products that are listed at the beginning of this article.
