Works: Mail Merge Is Not Updated with Changes to the Works Address Book (239405)

SYMPTOMS

  • When you create a document with Microsoft Works Word Processor, and you then merge information from the Works Address Book and attempt to view the mail merge results, you may receive the following error message:
    You must add records to the data source before you can print or preview.
    When you create a document with Microsoft Word, and you then merge information from the Works Address Book and attempt to view the mail merge results, you may receive the following message:
    Word could not merge the main document with the data source because the data records were empty or no data records matched your query options.
    When you receive one of these messages and you open the Works Address Book, and you then add contacts to the address book, the message still appears when you attempt to view the mail merge results. -or-

  • When you have successfully merged Works Address Book data into a Works Word Processor document or a Word document, and you then add additional contacts to the Works Address Book, the new contacts do not appear when you view the mail merge results.

CAUSE

This issue can occur because the mail merge results are not updated dynamically as the data records are changed or added.

STATUS

Microsoft has confirmed that this is a problem in the Microsoft products that are listed at the beginning of this article.

MORE INFORMATION

To work around this issue, follow these steps:
  1. Save the document, and then quit Word or Works Word Processor (as appropriate).
  2. Restart Word or Works Word Processor, and then open the document that you just saved.
  3. The changes to the Works Address Book are now included in the mail merge results.NOTE: It is not necessary to quit the Works Address Book.
