Works 2000: "View Results" Command Does Not Display All the Records in a Mail Merge (239323)

SYMPTOMS

When you click View Results in the Insert Fields dialog box after performing a mail merge, Microsoft Works 2000 Word Processor may not display all the records from your data source file.

CAUSE

This behavior can occur when either of the following conditions is true:
  • You use a tab-delimited ASCII data source file, and the only data in a field is an ASCII quotation mark (").

    -or- You use a tab-delimited ASCII data source file, and the data in a field has an opening ASCII quotation mark followed by characters but does not have a closing ASCII quotation mark (such as: "hello).
Works 2000 interprets the ASCII quotation mark as a delimiter and not a character. Works 2000 does not recognize the ASCII quotation mark ("); the program recognizes only the curly quotation mark (").

RESOLUTION

To work around this behavior, you need to change the ASCII quotation mark (") to the curly quotation mark ("). To do this, follow these steps:
  1. Start Works 2000.
  2. Click Works Word Processor on the Programs tab, and then click Start a blank Word Processor document.
  3. On the File menu, click Open.
  4. In the Open dialog box, click Text Files(*.txt,*.csv) in the Files of type box.
  5. Browse to select the ASCII data source file, and then click Open.
  6. Replace the ASCII quotation mark (") with the curly quotation mark (").
  7. On the File menu, click Save As.
  8. In the Save As dialog box, click Text File(*.txt,*.csv) in the Save as type box.
  9. Click Save.

This behavior does not occur if the tab-delimited ASCII data source file is created in Works 2000 and then saved as a text (*.txt) file. Works 2000 does not convert the characters to ASCII when it saves the file as a text file. Therefore, if you create a tab-delimited ASCII data source file in Works 2000, Works 2000 inserts the curly quotation mark and does not convert it to an ASCII quotation mark when you save the file as a text file.
