WD2000: Data in Form Fields Is Removed After Printing Unprotected Form (221494)

The information in this article applies to:

  • Microsoft Word 2000

This article was previously published under Q221494

SYMPTOMS

When you print a form after completing it and unprotecting it, some or all of the information in the form fields is cleared.

CAUSE

The form fields are reset if the Update fields printing option on the Print tab is selected. (On the Tools menu, click Options.)

RESOLUTION

To print the form and retain the information, print the form while it is still protected.

If you unprotected the form, you can print it and retain the form field information by using either of the following methods:

Method 1: Clear the Update Fields option before printing the form.

  1. On the Tools menu, click Options.
  2. Click the Print tab.
  3. Under Printing options, click to clear the Update fields check box.
  4. Click OK.

Method 2: Lock the fields before printing the form.

You can prevent changes or updates to a form field by locking the field. To do this, select the form field (or the form) and press CTRL+F11. If you later want to unlock the form field and allow updates, press CTRL+SHIFT+F11.

NOTE: When you reprotect the form, some fields, such as the check box, might be reset to their original state even though you locked the field. By using this method, you can still enter information into the form fields after reprotecting the file.
