Sending e-mail from Word exposes document revisions (220487)

The information in this article applies to:

  • Microsoft Word 2000

This article was previously published under Q220487

SYMPTOMS

When you send a document to an e-mail recipient, and the following conditions are true, the edited text, including deletions, appears in the pre-sent and sent e-mail message:
  • You have Track changes while editing turned on.
  • You have Highlight changes on screen turned off.

CAUSE

This behavior is by design. When you have Track changes while editing turned on and Highlight changes on screen turned off, Word automatically turns on Highlight changes on screen when sending e-mail to remind you that you are sending a document with revisions you have neither accepted nor rejected.

RESOLUTION

Accept or reject changes before creating the e-mail message.

You can accept or reject your changes before creating the e-mail message. To do this, on the Tools menu, point to Track Changes and then click Accept or Reject Changes.

For more information about tracking changes, click Microsoft Word Help on the Help menu, type track changes in the Office Assistant or the Answer Wizard, and then click Search to view the topics returned.
