SUMMARY

When you use the versioning feature to save a version of a document, and you open one of the saved versions, Word renames the version using a unique name, similar to the following:

This article explains how Word generates this unique name.

Versioning lets you maintain a working history of a document. With this feature you can see exactly who did what to a document and when. You can also enter descriptive text about the changes made in each version. All the versioning information is stored in the document, so you do not need to maintain and track multiple copies of the document. In addition, you can have Word automatically save a version at the end of every session, so you can see who changed what in each version.

To review version information for a file, click Versions on the File menu.

Word displays the date and time each version was saved, the name of the person who saved each version, and truncated lines of comments. The most recent version appears at the top of the list.

To see the complete comments about a particular version, click the version, and click View Comments.

To open a particular version, double-click the version.

Word generates a unique version name by using the following naming scheme:

   <document name>, <create date>  \create time/ \ AM|PM  /  
				
If the version has a unique date (no other versions were created that day), then the create time is not used, for example:

Document1, September 21, 2000

If another version was created on that day (making the date non-unique), then the create time is used, for example:

Document1, September 21, 2000 12-21 PM version

If a version already exists with that date and time stamp, the optional index number is used to supplement the name, for example:

Document1, September 21, 2000 12-21 PM version - 2

NOTE: Word inherits the time format from the Microsoft Windows operating system. This can be changed in Control Panel, in Regional Settings (or Regional Options, if you are using Microsoft Windows 2000).
