SUMMARY

In Microsoft Excel, you can use Microsoft Map (Microsoft Data Map in Microsoft Excel 7.0) to limit the states or countries shown on a map to a given list. When a map is drawn, the default is to include all the states or countries on the selected map.

To limit the states or countries displayed on map, follow these steps:

  1. Create a data map, and select the area of map to be shown. For example, for a map of the United States, on the Insert menu click Map, use the + pointer to draw a map box, and double-click "US with AK & HI Insets" in the Unable To Create Map dialog box.
  2. Create a column of geographic data using the state or country names that you want, or use their standard abbreviations. For example, for a map of the United States, type:

    A1: WA
    A2: ID
    A3: CA

  3. On the Insert menu, click Data in Microsoft Map and highlight the range of data on the worksheet that contains the states or countries that you want to show. In the example, select A1:A3. By default, the states that you select will be shaded gray on the map.
  4. On the Map menu, click Features to display the Map Features dialog box.
  5. Click to clear the Visible check box for the map you are using and click OK. For example, with a map of the United States, click to clear "United States (AK & HI Inset)" and click OK. All non-shaded states and unused boundaries will disappear.
The default shading color for a state or country is based on a count of the number of entries for each state or country name. You can change the color being used. To change shading color, follow these steps:

  1. On the View menu, click Microsoft Map Control (Data Map Control in Microsoft Excel 7.0).
  2. Double-click the shaded symbol displayed on the right in Map Control. Or, on the Map menu, click Value Shading Options.
  3. In the Value Shading Options dialog box, click the arrow in the Color box and select the color that you want.
  4. To make all states the same color, change the number in Number Of Value ranges to 1 (or list each state only once in the data range inserted).
  5. Click OK to exit the Format Properties dialog box.
