PRJ: Project Size Increases When Adding and Deleting Toolbars (186074)

SYMPTOMS

In Microsoft Project, when you repeatedly add and delete toolbars in a project, the file size of the project may increase.

CAUSE

This behavior occurs when you use the Organizer to repeatedly copy, save and delete toolbars that use built-in menus, or the following toolbars that ship with Microsoft Project:
  • Analysis
  • Custom Forms
  • Drawing
  • Formatting
  • Menu Bar
  • Microsoft Project 95
  • Pert Analysis
  • Resource Management
  • Standard
  • Tracking
  • Visual Basic
  • Web
  • Workgroup
NOTE: Copying, saving, and deleting custom toolbars without built-in menus does not cause this behavior.

WORKAROUND

To work around this behavior, use the method appropriate for your situation.

Create a Custom Toolbar

Avoid repeatedly copying and deleting toolbars using the Organizer. Instead, create a custom toolbar containing the commands from the toolbar you want to copy.

To create a custom toolbar, follow these steps:
  1. On the Tools menu, point to Customize, and then click Toolbars.
  2. On the Toolbars tab, click New.
  3. In the New Toolbar dialog box, type the toolbar name you want and click OK.
To add buttons to the newly created toolbar, click the Commands tab and drag commands (under Commands) onto the new toolbar. Do not drag commands from the Built-in Menus category, as this may cause the new toolbar to exhibit the symptoms described earlier.

Repair the Project

To reduce the size of a project where toolbars have repeatedly been added and then deleted, manually repair the project. To do this, use the method appropriate for your situation.

If Microsoft Access Is Available:

If you have Microsoft Access, follow these steps to repair your project:

  1. Start Microsoft Project, and open your project. On the Tools menu, click Organizer.
  2. In the Organizer dialog box, click the Toolbars tab. Select all the toolbars in your project and click Delete.

    NOTE: Make sure you are deleting the toolbars in your project only (see Toolbars Available In). Do not delete the toolbars in the Global.mpt file.
  3. Click Close.
  4. On the File menu, click Save As.
  5. In the Save As Type list, click Project Database (*.mpd). Click Save.
  6. On the File menu, click Close.
  7. Start Microsoft Access, and open the project you just saved as a Project Database.
  8. Open the Reserved_CommandBars table and delete all records.
  9. On the File menu, click Close. Changes will be saved automatically.
  10. Start Microsoft Project, and open your project database (*.mpd).
  11. On the Tools menu, click Organizer.
  12. In the Organizer dialog box, click the Toolbars tab. Select all the toolbars you want to copy back into your project, and click Copy.
  13. Click Close to close the Organizer.
  14. On the File menu, click Save.
If Microsoft Access Is Not Available:

If you do not have Microsoft Access, follow these steps to repair your project:

NOTE: This method results in a loss of all custom formatting.

  1. Start Microsoft Project, and open your project.
  2. On the File menu, click Save As.
  3. In the Save As Type list, click Microsoft Access 8.0 Database (*.mdb). Click Save.
  4. In the Export Format dialog box, click Selective data (allows you to export particular fields)" and then click New Map.
  5. In the Import/Export Map Name box, type Toolbar Fix.
  6. Under Data To Import/Export, click to select the Tasks, Resources, and Assignments check boxes.
  7. On the Task Mapping tab, click Add All.
  8. On the Resource Mapping tab, click Add All.
  9. On the Assignment Mapping tab, click Add All, and then click OK.
  10. In the Export Format dialog box, click Save.
  11. On the File menu, click Close.
  12. On the File menu, click Open.
  13. In the Files Of Type box, click Microsoft Access Databases (*.mdb) and open your project.
  14. In the Import Format dialog box, under Import/Export map to use for importing, click to select Toolbar Fix, and then click Open.

STATUS

Microsoft has confirmed this to be a problem in the versions of Microsoft Project listed above.
