OL98: Sending HTML Word Document Displays Garbage Text (182741)

SYMPTOMS

Messages received in Microsoft Outlook 98 have nonsense text at the top of the message.

Opening an attached HTML document displays nonsense text at the top of the message.

CAUSE

Microsoft Word sent the document in a format that was not represented correctly by the file name extension.

RESOLUTION

There are two workarounds for this issue. One is a Sender side adjustment that requires a change to the default Save format, and the other is a Recipient side adjustment requiring a file name extension change.

STATUS

Microsoft has confirmed this to be a problem in Microsoft Outlook 98 and Microsoft Word 97. We are researching this problem and will post new information here in the Microsoft Knowledge Base as it becomes available.

MORE INFORMATION

When you use the Send To feature in Word to send a document to an e-mail recipient, after you have saved the document in HTML format, Word will ignore the fact that it is HTML and will instead send the document in the default Save format.

For example, if the default Save format is Word Document(*.doc), the result will be an attached Word document with a .htm file extension.

There are two ways to avoid this problem; change the default Save format in word to HTML, or save the attached document to the desktop and change the file extension to .doc. The document can then be opened by Word.

Change the Default Save Format in Word

  1. On the Tools menu, click Options.
  2. Click the Save tab and click to select HTML Document (*.htm;*.html; *.htx). Click OK.
The document will be saved in HTML format and will be opened and displayed correctly by Outlook.

Save and Rename the Attached Document

  1. Right-click the attached document and on the shortcut menu, click Save As.
  2. Click to select the desktop as the Save location and click Save.
  3. Right-click the document on the desktop and and on the shortcut menu click Rename.
  4. Change the file name extension from .htm to .doc and press ENTER to accept the change.
The document can now be opened by Word.

Steps to Reproduce Problem

  1. In Word on the Tools menu, click Options.
  2. Click the Save tab, click to select Word document(*.doc) and click OK.
  3. Create a new document and on the File menu, click Save As HTML. Click Save.
  4. On the File menu, point to Send To and click Mail Recipient. Address the message to yourself and click Send.
  5. Open the mail message in Outlook.
There will be nonsense text at the top of the e-mail message, or you will have an attachment that when opened has nonsense text at the top of the document.
