In Microsoft Word 6.x for the Macintosh, if you use the SectionPages and
Page fields in a header or footer to create an X (page) of Y (total number
of pages in a section) numbering scheme, the page numbers do not coincide
with their appropriate sections.
CAUSE
The SectionPages field returns the total number of pages in a section.
However, in Microsoft Word 6.x, the SectionPages field does not return the
correct number of pages in the section if you insert it in the header or
footer.
WORKAROUND
You can use the PageRef field to obtain the number of pages in the current
section, and create an X of Y numbering scheme, in the following format:
<Page Number> of <Total Number of Pages in Section>
Page numbering starts at 1 for each section, and the PageRef field yields
the number of pages in each section. Page numbering appears as "Page X of
Y" on each page, where X is the current page in the current section, and Y
is the number of pages in the current section.
To create an X of Y numbering scheme, follow these steps:
- Repeat the following instructions in each section of your document
to insert a bookmark at the end of the section:
- Select some text at the end of the last page of the section.
- On the Edit menu, click Bookmark.
- Type a Bookmark Name, and then click Add.
- On the View menu, click Header And Footer. If you want the page numbers
in the header, place the insertion point at the proper location. If you
want the page numbers in the footer, on the Header and Footer toolbar,
click the Switch Between Header and Footer button and then place the
insertion point at the proper location.
- Type the word Page and then press
the SPACEBAR once.
- On the Header and Footer toolbar, click the Page Numbers button.
- If the number is other than 1, on the Insert menu, click Page Numbers
and then click Format. Under Page Numbering, select Start At, make sure
a 1 appears in the list box, and then click OK twice.
- Make sure your insertion point is to the right of the number 1 and
then press the SPACEBAR once, type the word or, and then press the SPACEBAR one more time.
- On the Insert menu, click Field. and then follow these steps:
- Under Categories, select All.
- Under Field Names, select PageRef.
- Under Field Codes, click after PAGEREF and type the name of the
bookmark you inserted to mark the end of the current section.
- Click OK.
- On the Header And Footer toolbar, click Close.
NOTE: To turn field codes on and off, press OPTION+F9.
With field codes turned on, the header or footer appears as follows:
{ PAGE } of { PAGEREF BookmarkName }
where BookmarkName is the name of the bookmark you inserted in step 7.
With field codes turned off, if the current section contains 11 pages, for
example, the following appears in the header or footer on page 3:
STATUS
Microsoft has confirmed this to be a problem in the Microsoft products
listed at the beginning of this article. This problem was corrected in
Microsoft Word 98 Macintosh Edition.
