How to configure Microsoft Project workgroup messaging with Lotus Notes (155335)

SUMMARY

Microsoft Project workgroup features do not function with Lotus Notes version 4.0 mail. Version 4.1a, however, functions correctly with Lotus Notes 4.0 and later versions.

Microsoft Project 95 was released before Lotus Notes version 4.0; therefore the initial release of Microsoft Project 95 does not function correctly with Lotus Notes 4.0

The maintenance release of Microsoft Project 95, version 4.1a corrects problems when working with Lotus Notes 4.0. You can obtain the updated version of Microsoft Project 4.1 by calling Microsoft Product Support Services at 425- 635-7155 and requesting Microsoft Project 4.1a.

Complete the steps later in this article to make sure your system is set up correctly to enable Microsoft Project and Lotus Notes to communicate.

Installation Instructions for Microsoft Project

  1. Install Microsoft Project.

    Note Microsoft Project version 4.1a is a free upgrade to registered users and can be obtained by calling Microsoft Product Support Services at (425)635-7155.
  2. Update all the workstations that will be sending or receiving Microsoft Project workgroup mail. Run Wgsetup.exe on these computers. Note that Wgsetup.exe is located on the first Microsoft Project disk.

Installation Instructions for Lotus Notes 4.0

  1. Install Microsoft Exchange that comes with Windows 95 or Windows NT 4.0. If you use Windows 2000 you must have Microsoft Windows Messaging (note that the name was changed with the later operating system) .     Note Windows NT 3.51 does not have a built in Exchange client, therefore Lotus Notes 4.0 cannot communicate with Microsoft mail- enabled applications under Windows NT 3.51.
  2. Install Lotus Notes 4.0 or later. If the Messaging Application Programming Interface (MAPI) components were already installed before you installed Lotus Notes 4.0, you do not have to reinstall Lotus Notes. If the MAPI components were not installed before Lotus Notes 4.0, you must reinstall Lotus Notes 4.0. Installing the MAPI components first, and then installing Lotus Notes, copies files that allow Lotus Notes to communicate with MAPI.
  3. In the Windows Control Panel, double-click the Mail and Fax icon. Note that the icon may be named just Mail.
  4. Click the Show Profiles button, and then click Add.
  5. In the next dialog, make sure Lotus Notes Mail is the only information service selected, and then click Next.
  6. Give the profile a name, such as "Lotus Notes", and then click Next.

    Note Make sure that you run Lotus Notes at least one time before this step.
  7. Type your Lotus Notes password, and then click Next.
  8. Click Next on the following two dialogs, and then click Finish. If the program cannot connect to your Lotus Notes server, you cannot continue. Wait until Lotus Notes runs correctly, and then start over at step 3.
  9. In the Microsoft Exchange Profiles dialog, select the new profile in the list box named, When starting Microsoft Exchange, use this profile.
  10. Select your new profile from the list of installed profiles in the dialog, and then click Properties.
  11. If there is a line for Personal Folders, select it and remove it from the list.
  12. Click the Delivery tab, and then select Lotus Notes Message Store in the list box named Deliver new mail to the following location.
  13. Click the Addressing tab.
  14. Click Add, and then add any address books that contain e-mail addresses you use frequently.
  15. Click Close, click OK, and then click Close. This closes the Mail and Fax control panel.
You are now set up to run Microsoft Project and have it communicate with Lotus Notes mail. Before you send mail to resources, put your e-mail address in the Manager field in each Project file. To do this, follow these steps:
  1. Open a file in Microsoft Project , and then on the File menu, click Properties
  2. Type your Lotus Notes e-mail name in the Manager field, and then click OK.

    Microsoft Project checks this field when trying to send workgroup messages and prompts you to type your name if the field is blank. If you type an incorrect e-mail name, resources cannot reply to your messages.

Updating Every One to the New Workgroup Message Handler

Managers or resources who create or respond to Microsoft Project workgroup messages must install the updated workgroup message handler that comes with Microsoft Project . They can run the Wgsetup.exe program located on the first Microsoft Project disk, or in the root directory of the Microsoft Project CD-ROM.
