Problems Printing Header and Footer Paragraphs in Form Letters (123604)

SYMPTOMS

When you are printing a multiple-page form letter using header and footer paragraphs with a database field placeholder in the header, the printed output may be incorrect. If the options No Header On First Page and/or No Footer On First Page have been selected, or you are printing a page range that doesn't include the first page, the output for all pages of the form letter after the first will print unwanted or incomplete information. For example, the footer will contain the last few characters of the database field entry from the header or the first line of the form letter, or the footer information will be displayed at the top of the page underneath the header.

STATUS

Microsoft has confirmed this to be a problem in Microsoft Works versions 3.0, 3.0a, and 3.0b for Windows. We are researching this problem and will post new information here as it becomes available.

At the present time, there is no workaround that solves the issue in every instance.

Steps to Reproduce Problem

  1. In a multiple page form letter, choose Headers and Footers from the View menu.
  2. Select the following options:

    • Use Header And Footer Paragraphs
    • No Header On 1st Page
    • No Footer On 1st Page
  3. Choose OK.
  4. Place the cursor in the header line, and choose Database Field from the Insert menu.
  5. If your database is not open (no fields are listed in the Fields box), then choose the Database button. If there are fields listed in the Fields box, goto step 8.
  6. In the Choose Database dialog box, select one of the available databases.
  7. Choose OK.
  8. Choose one of the fields listed in the dialog box, then choose the Insert button.
  9. Choose Close.
  10. Preview the form letter and cycle through the pages by selecting the Next button.
As you cycle through the pages, notice that beginning on the second page of the previewed form letter, the footer will display characters from the database field that was inserted in the header, or will reprint the first line from the form letter.
