WD: Page Numbering Incorrect with Index Ranges (117211)

SYMPTOMS

An index displays and prints incorrect page ranges. This occurs when two or more index entry (XE) fields for the same subject include separate bookmark references that appear on the same page, even though the bookmarks do not overlap.

STATUS

Microsoft has confirmed this to be a problem in Word versions 2.x, 6.x, 95 and 97 for Windows. We are researching this problem and will post new information here in the Microsoft Knowledge Base as it becomes available.

WORKAROUND

Manually edit the index by converting it to normal text. To do this, position the insertion point in the index and press CTRL+SHIFT+F9 or CTRL+6. The drawback to using this method is that the index is no longer a field, and you will not be able to update it.

MORE INFORMATION

In Word 6.0, you can include a range of pages (such as "Product Support, 7- 9") in an index. The range of pages must be bookmarked and the bookmark must be included in the index entry field. You can mark the text to be included in the index by choosing Index And Tables from the Format menu.

If you have the following two XE fields in your document, where bookmark1 was created by selecting all of page 3 and the top of page 4 and bookmark2 was created by selecting text on the bottom of page 4 and all of pages 5 and 6
   For Word 6.x, 7.x, 95           For Word 2.x
   ---------------------           ------------
   {XE "Sales" \r "bookmark1"}     {XE "Sales" \b "bookmark1"}
   {XE "Sales" \r "bookmark2"}     {XE "Sales" \b "bookmark2"}
				
the resulting index entry will incorrectly display as:
   In Word 97:      Sales 3-6          (with/without hidden text displayed)

   In Word 7.x:     Sales 3-6          (with/without hidden text displayed)

   In Word 6.x:     Sales, 3-4-6       (with hidden text not displayed)
                    -or-
                    Sales, 3-4,5-6     (with hidden text displayed)

   In Word 2.0:     Sales, 3, 5        (with/without hidden text displayed)
				
None of the above is correct. The expected display is:
   Sales, 3-4, 4-6
				
NOTE: Turn off hidden text before updating fields or your page numbering results will be inaccurate.
