The Internet Free/Busy information for a recipient is unavailable when you add the recipient from the global address list in Outlook 2003 (916654)

SYMPTOMS

You add a recipient from the global address list (GAL) to a meeting request in Microsoft Office Outlook 2003. When you do this, the Internet Free/Busy information for the recipient is unavailable on the Scheduling tab of the meeting request.

CAUSE

This behavior may occur when one of the following conditions is true:
  • The recipient has an Internet Free/Busy address that is specified on the Details tab in the contacts list.
  • The recipient is a Simple Mail Transfer Protocol (SMTP) recipient. Additionally, an Internet Free/Busy search location has been specified in the Free/Busy Options dialog box of the calendar options.
When Outlook resolves a recipient whose e-mail address is found in the GAL, that recipient is resolved to the GAL object, regardless of how the recipient was entered. Therefore, even if you type the SMTP address directly into the To: line or if you select the contact from the Outlook Address Book, the recipient is resolved to the GAL object.

As soon as a recipient is resolved to a GAL object, Outlook no longer recognizes the recipient as a contact or as an SMTP address. Therefore, Outlook does not try to look up the Free/Busy information on the Internet.

This behavior may not occur when one of the following conditions is true:
  • The recipient existed in the nickname cache in Outlook before the recipient was added to the GAL.
  • The recipient is added to a meeting request in such a way as to preserve the SMTP address status. For example, if the Display Name field and the E-mail Address field of the resolved recipient's name contain the same SMTP address, the behavior may not occur.
