SUMMARY

Microsoft Money lets you print checks or charts in many customized formats. However, because of the many types of printers and the many formats of check sheets, you may not always receive the output that you want.

This article describes some of the methods that you can use to troubleshoot the printing problems that you may experience when you print checks or color charts.

INTRODUCTION

This article describes how to resolve printing problems in Microsoft Money.

MORE INFORMATION

If you cannot print your documents correctly from Money, follow the steps in the appropriate sections to correct the problem. After you complete the steps under each troubleshooting section, try to print your document. If you still cannot print your document, continue to the next troubleshooting section.

Print checks

Verify that you have selected that checks that you want to print

  1. Start Money.
  2. Click Account List.
  3. Click the account that you want to print checks from.
  4. Right-click the transaction area, and then click New to enter a new transaction. Or, right-click a transaction, and then click Edit to change an existing transaction.
  5. In the Num box, click Print this transaction.
  6. Enter or change the data in the other boxes, and then click Enter.
  7. If the Print address dialog box appears, enter the information that you want, and then click OK.
  8. On the File menu, click Print checks.
  9. In the Print checks dialog box, select the options that you want, and then click Print.

Verify that the correct types of checks are selected

  1. On the File menu, point to Print Setup, and then click Check Setup.

Note If the printer that you want to use is not listed, install the printer driver for the printer. For information about how to install the printer driver, see the Microsoft Windows Help file.
  3. In the Check area, click the Type and the Source that you want to use.
  4. Verify that the picture to the right matches the check that you want to print.

For more information about how the check type affects printing in Microsoft Money, click the following article number to view the article in the Microsoft Knowledge Base:

  5. If you want the payee address on all your checks, click to select the Require address for payee when printing checks check box, and then click OK.
  6. On the File menu, click Print checks.
  7. In the Print checks dialog box, select the options that you want, and then click Print.

Print single checks

To print single checks, click One in the Print Checks dialog box. When you select the option to print a single check on a laser printer, make sure that the check is the last check that is left on the sheet of paper. The last check is the check that has the blank strip of paper attached underneath the check. This strip of paper is used to align the check correctly in the printer tray even with a single check.

Always manually feed partially used check sheets and use the tray guides to center the checks and to hold the checks in position.

Print checks with the correct alignment

Test printing

  1. Verify that you have correctly loaded blank check sheets in the printer and that the printer is ready. To test printing, load photocopies of your check sheets.
  2. Start Money.
  3. Click Account List.
  4. Click the account that you want to print checks from.
  5. Right-click the transaction area, and then click New to enter a new transaction. Or, right-click a transaction, and then click Edit to change an existing transaction.
  6. In the Num box, click Print this transaction.
  7. Enter or change the data in the other boxes.
  8. Click Enter.
  9. If the Print address dialog box appears, enter the information that you want, and then click OK.
  10. On the File menu, click Print checks.
  11. Click Print Test, to print sample information to verify the alignment of printed text on your checks.

Adjust the alignment

If the printed text is not correctly aligned, adjust the alignment. To do this, follow these steps.

For laser checks
  1. On the File menu, click Print checks.
  2. Click Options.
  3. In the Printing Alignment area, enter numeric values in the appropriate boxes to shift the printed text on the check vertically or horizontally. Use the information at the bottom of the Printing Alignment area to guide you.
For dot matrix compatible checks
  1. Manually adjust the position of the blank checks in the printer.
  2. Make sure that the values in the Printing Alignment area are set to zero. To do this, follow these steps:
    1. On the File menu, click Print Checks, and then click Options.
    2. In the Printing Alignment area, type 0 in all the four boxes that are provided for vertical and horizontal alignment.
  3. Verify that the printer is set to print 10 characters per inch.
After you adjust alignment, use Print Test again to verify your adjustments are correct. If you use dot matrix compatible checks and you are satisfied with the alignment, put a piece of tape on the printer case to provide a reference to position check sheets.

General troubleshooting steps

If your printing problem is not mentioned in the previous sections, follow these steps to determine the cause of the problem.

Print a report

  1. Start Money.
  2. Click Reports, and then click Spending by Category.
  3. In Common Tasks, click Change View, and then click Report.
  4. Click Print this Report, and then click OK.
If the report does not print correctly, follow the steps that are listed in the "Print a test page" section and follow the steps that are listed in the "Print from a program" section. If the report prints without error, but you cannot print checks successfully, check your Money data file or the printer driver. To check your Money data file, go to the "Test the Money data file" section.

Print a test page

  1. Click Start, and then click Printers and Faxes.
  2. Right-click the printer icon, and then click Properties.
  3. On the General tab, click Print Test Page, and then click OK.
  4. View the printed test page for the following information:
    • Printer model
    • Data Format
Verify that the indicated printer model matches the model of the printer. If not, install the correct printer driver. If the data format is indicated as EMF, try to print without print spooling. To change your spool settings, follow these steps:
  1. Click Start, and then click Printers and Faxes.
  2. Right-click the printer icon, and then click Properties.
  3. Click Advanced, click Print directly to Printer, and then click OK.
  4. Try to print a check from Money.

Print from another program

  1. Click Start, point to All Programs, point to Accessories, and then click WordPad.
  2. Type several lines of text.
  3. Print the document.
If you cannot print from another program, such as Microsoft WordPad, the problem is probably the printer driver. We recommend that you remove and reinstall the printer driver to correct this problem. If you do not know how to remove and reinstall the printer driver, contact the printer manufacturer or the Microsoft Windows support provider. An updated printer driver may also be available for the printer.

If you can print from other programs, but you still cannot print checks in Money, the problem may be with the Money data file, the printer driver or with the Money installation.

Test the Money data file

  1. Start Money.
  2. On the File menu, click Open.
  3. In the Look in box, move to the Microsoft Money folder. By default, Money is installed in the C:\Program Files folder.
  4. Click Sample.mny, and then click Open.
  5. Click Don't Back Up.
  6. Click Next, and then click Finish.
  7. Click Banking, and then click Woodgrove Bank Checking in Bank Accounts.
  8. Right-click any one of the transactions, and then click Edit.
  9. In the Num box, click Print this transaction, and then click Enter.
  10. If the Print address dialog box appears, enter the information that you want, and then click OK.
  11. On the File menu, click Print checks.
  12. In the Print checks dialog box, select the options that you want, and then click Print.
