The Print Preview button and the Print Preview command are unavailable in Small Business Accounting (896690)

SYMPTOMS

When you try to print documents such as quotes, sales orders, invoices, or purchase orders in Microsoft Office Small Business Accounting, the Print Preview button on the toolbar is unavailable. The Print Preview command on the File menu is also unavailable.

CAUSE

This problem occurs if a Microsoft Word template or a preprinted form was selected in the Print dialog box the last time that this kind of document was printed.

In Small Business Accounting, you can select any one of the following print form types when you print a quote, a sales order, an invoice, or a purchase order:
  • A Word template
  • A preprinted form
  • A basic form
In the Print dialog box, when you select a print form type for a quote, for a sales order, for an invoice, or for a purchase order, that form type becomes the default form every time that a document of that type is printed. The basic form is the only form that you can view in print preview. If a Word template or pre-printed form was printed last, the print preview is unavailable.

WORKAROUND

To work around this problem, follow these steps:
  1. Open the document that you want to print:
    1. Open one of the following document lists, as appropriate:
      • Quote List
      • Sales Order List
      • Invoice List
      • Purchase Order List
    2. Double-click the document that you want to print.
  2. On the File menu, click Print.
  3. Under Print Options, click Basic form.
  4. Click Preview.
  5. Close the Print Preview dialog box.
The Print Preview command and the Print Preview toolbar button will now be available until a Word template or a pre-printed form type is printed.

Steps to reproduce the problem

  1. Open a Small Business Accounting sample company.
  2. Create a new invoice. To do this, point to New on the Customers menu, and then click New Invoice.
  3. In the Customer name list, click any name.
  4. Under Products and Services, click any item in the Name list.
  5. On the File menu, click Save.
  6. On the File menu, click Print.
  7. In the Name list, click the printer to which you want to print.
  8. In the Print Options area, click Word template, and then click Templates .
  9. Click Invoice Product - B&W.doc, and then click Select.
  10. In the Print dialog box, click OK.
After the document has been printed, the Invoice dialog box appears. However, the Print Preview button on the toolbar is not available. Additionally, the Print Preview command on the File menu is unavailable.
