This article explains how the ADP provisioning process in Microsoft Office Small Business Accounting handles the following status types:
  • An inactive employee status
  • A released employee status
"Provisioning" is an ADP term that describes the synchronization of data between Small Business Accounting and ADP.

Inactive status of employee

If you create an employee who has an inactive status in Small Business Accounting, the employee record will still provision to ADP. However, the employee will not appear in ADP pay runs until the employee status is active.

Note The employee status is inactive if the Active option is cleared in the Status field of the employee record.

When the status of the new employee is inactive, the employee will appear in the Today's Payroll Tasks window in ADP. In this case, the employee setup will have to be completed. After the setup is completed, the employee will have a status of Leave of Absence in ADP. The employee will not appear in ADP pay runs until the employee's status is active.

Released employee

A new employee record that has a date that is entered in the Date of release field in Small Business Accounting will provision to ADP. The record will have a status of Terminated. The record will appear in the Today's Payroll Tasks window in ADP. When the employee setup is completed, the employee record will have a status of Terminated in ADP.

The date of release or the termination date for the employee determines whether the employee will appear in subsequent ADP pay runs. For example, if the termination date is prior to the current pay period, the employee will not appear in the pay run grid. If the termination date is within or is later than the current pay period, the employee will display in the pay run grid.

If the employee is rehired in ADP, the release status is removed in Small Business Accounting. The employee will have a status of Active within ADP, and the Active option in the Status field will be selected in Small Business Accounting.
