This article describes how to set the option for the Printing to PDF feature for Microsoft Office Live Meeting attendees so that they can print the Live Meeting slides. The Printing to PDF feature lets presenters and attendees print the contents of a loaded slide set in Portable Document Format (.pdf) file format.

Method 1: Set the option for the Printing to PDF feature on the Advanced Meeting Options page

You can use the Advanced Meeting Options page to let attendees print slides in the .pdf file format. Changes that you make on the Meeting Details page override the settings for your specific meeting.

To set the option for the Printing to PDF feature on the Advanced Meeting Options page, follow these steps:
  1. Log on to your Live Meeting home page.
  2. On the Manage menu, click Meetings.
  3. On the Manage Meetings page, click Edit next to the meeting that you want to change.
  4. Next to Advanced Meeting Options, click Edit.
  5. Under Printing to PDF, click one of the following options:
    • Disabled
    • Enabled for presenters only
    • Enabled for all participants
  6. Click Submit.

Method 2: Set the option for the Printing to PDF feature on the Meeting Preferences page

You can use the Meeting Preferences page to define the default settings that apply when you schedule a new meeting. Changes that you make on the Meeting Details page and on the Advanced Meeting Options page override the settings for your specific meeting.

To set the option for the Printing to PDF feature on the Meeting Preferences page, follow these steps:
  1. Log on to your Live Meeting home page as an organizer.
  2. On the Manage menu, click Preferences, and then click Meeting.
  3. Under Printing to PDF, click one of the following options:
    • Disabled
    • Enabled for presenters only
    • Enabled for all participants
  4. Click Submit.

Method 3: Set the option for the Printing to PDF feature on the Meet Now Options page

You can use the Meet Now Options page to define the default settings that apply when you are in a Meet Now meeting. To change the Meet Now meeting options, you can use the Meet Now Options page when you initiate a Meet Now meeting.

To set the option for the Printing to PDF feature on the Meet Now Options page, follow these steps:
  1. Log on to your Live Meeting home page.
  2. On the Meet menu, click Meet Now.
  3. Next to Meet Now Options, click Edit.
  4. Under Printing to PDF, click one of the following options:
    • Disabled
    • Enabled for presenters only
    • Enabled for all participants
  5. Click Submit.
Typically, a meeting organizer enables the option for the Printing to PDF feature that lets both the presenter and the attendees print the contents of the slides as a .pdf file. When the organizer selects the Enabled for presenters only option, the Printing to PDF feature appears on the Presenter console. However, this feature does not appear for attendees until the presenter enables the feature as a meeting option. To enable the Printing to PDF feature on the Presenter console, follow these steps:
  1. Follow the steps in Method 1 to modify the Advanced Meeting Options page. Or, follow the steps in Method 3 to modify the Meet Now Options page.
  2. Under Printing to PDF, click Enabled for presenters only, and then click Submit.
After the organizer configures the option for the Printing to PDF feature for the presenter, the presenter enables the option for the Print to PDF feature on the Live Meeting console for the attendees. If you are the presenter, and if you have to configure the option for the Print to PDF feature for the attendees, follow these steps:
  1. Log on to your meeting as a presenter.
  2. On the Edit menu, click Meeting Options.
  3. In the Meeting Options dialog box, click to select the Print to PDF check box under Allow attendees to.
  4. Close the Meeting Options dialog box.
