How to publish a project plan of Microsoft Project and retain Actual Work that is entered by resources for Project 2003 (833802)

SUMMARY

Before you publish a project plan from an earlier version of Microsoft Project to your Microsoft Office Project Server 2003-based server, and to maintain the Actual Work that is submitted by your resources, you must make sure that you use a calculation method in your earlier project plan, you must turn on the Non-Managed Periods option if you use the Managed Time Periods feature, and you must verify that updates have not been made by the project manager. Additionally, detailed steps are provided for publishing your project plan to your Project Server 2003-based server.

This article describes how to publish your project plan from an earlier version of Microsoft Project (such as Microsoft Project 2000 or Microsoft Project 2002) to your Microsoft Office Project Server 2003-based server.

Depending on your situation, the following steps illustrate how to publish a project plan from an earlier version of Project that will retain the Actual Work that has been reported by your resources.

Note These steps assume you have not saved your project plan to your project server.
  1. If you are migrating from a Project 2000 project plan, make sure that you use a calculation method in that project plan.
  2. If you use the Managed Time Periods feature in Project Server 2003, you have to turn on the Non-Managed Periods option temporarily during the migration process to maintain the integrity of what Actual Work your resources have reported previously.

    To do this, follow these steps:
    1. Log on to Microsoft Project Web Access as the administrator.
    2. Click Customize Microsoft Project Web Access.
    3. In the Time Period Settings area, select Non-Managed Periods.
    4. Click Save Changes.
  3. Verify that there are no updates that have to be made by the project manager:
    1. Log on to Project Web Access by using an account that has rights to accept updates, typically a member of the project manager group.
    2. Click Updates.
    3. If there are updates that have to be made, accept the updates, and then click Update All to write the Actual Work to the project plan.
  4. Log on to Microsoft Office Project Professional 2003 by using a project manager account.
  5. On the Tools menu, point to Enterprise Options, and then click Import Project to the Enterprise.
  6. On the Welcome screen, click Next.
  7. Locate the project plan that you saved locally, and then click Import.
  8. Verify the project plan name, and then click Next.
  9. In the Map Project Resources onto Enterprise Resources dialog box, verify your resources, and then click Next.
  10. In the Map Task Fields dialog box, if you have fields to map, select your fields, and then click Next.
  11. Verify the task that you want to map, and then click Import.
  12. Click Finish.
  13. On the Collaborate menu, point to Publish, and then click Republish Assignments.
  14. In the Republish Assignments dialog box, select the Overwrite Actual Work Entered by Resources option, and then click OK.
  15. Log on to Project Web Access as the resource, and then verify that the Actual Work is listed in the timesheet.

    Note Remember to turn on the Managed Periods option. To do this, follow these steps:
    1. Click Customize Microsoft Project Web Access.
    2. In the Time Period Settings area, select Managed Periods, and then click Save Changes.
